Our client, a leading private equity firm in Midtown, is seeking a polished, proactive, and relationship-driven Executive Assistant to support senior leaders within its Growth Sector. This is a fast-paced, highly collaborative environment where the ability to anticipate needs, juggle competing priorities, and operate with exceptional judgment is essential. The role engages with all parts of the firm — leadership, investments, operations — and requires someone who is confident, resourceful, and skilled at building strong internal relationships.
The ideal candidate comes from financial services (PE, HF, or Asset Management strongly preferred), is systems-savvy, and thrives in a dynamic, execution-driven culture. This is an in-office role Monday–Thursday, with flexibility on Fridays as needed.
RESPONSIBILITIES:
Calendar & Travel Management:
- Manage complex internal and external scheduling across multiple stakeholders; anticipate and resolve conflicts as they arise.
- Ensure leaders are fully prepped before meetings with all necessary materials; manage follow-ups and action items afterward.
- Maintain continuously shifting calendars in a fast-moving environment.
- Coordinate domestic and international travel, including itineraries, private plane bookings, ground transportation, and dinner/lunch reservations.
- Add flight details to firm trackers and maintain accuracy across all systems.
- Assist with logistics for mid-year and year-end performance reviews.
Project & Event Management:
- Plan, coordinate, and execute special projects and firm events, including venue research, menu selection, contracts, and day-of management.
- Partner with the Growth Sector admin team to maintain sector materials and schedule sector events and offsites.
- Support planning of portfolio company board meetings and related dinners, including room blocks, meeting spaces, IT coordination, and restaurant research.
Core Administrative Execution:
- Prepare and process expense reports through Concur (Amex and cash reimbursements).
- Manage e-signature workflows.
- Prepare meeting materials, including binding decks.
- Organize notes for Advisory Board meetings in partnership with sector admins.
- Provide phone coverage, including managing rolling calls.
- Heavy Microsoft Office usage (Word, PowerPoint, Excel) — advanced proficiency required.
REQUIREMENTS:
- 6+ years of experience supporting senior executives; background in PE, HF, or AM strongly preferred.
- Exceptional calendar, scheduling, and travel coordination experience across time zones.
- Advanced proficiency with Microsoft Office and Outlook.
- Bachelor’s degree required.
- Proactive, anticipatory mindset — ability to “see around corners.”
- Strong problem-solving skills and critical thinking.
- Excellent communication skills; fast, clear, and transparent.
- High attention to detail, discretion, and sound judgment.
- Strong team orientation; comfortable collaborating with and taking direction from other admins.

HOURS:
9:00am–5:00pm; Monday–Thursday in-office (Friday flexibility as needed)
SALARY:
Up to $150K base + generous discretionary bonus + $20 daily lunch stipend + 100% covered health, dental, vision + 401K
