Jr. Executive Assistant to Support CEO of Midtown Hedge Fund

Our client, a leading boutique hedge fund, is seeking a smart, nimble, and highly detail-oriented Jr. Executive Assistant to support the Chief Executive Officer and his family. This is a high-touch, deeply involved role that blends traditional C-suite support with personal assistance, household management, philanthropic coordination, and oversight of the family’s art collection.
The ideal candidate brings 2–5 years of EA/PA or administrative experience, strong academic credentials, exceptional judgment, and a calm, composed demeanor paired with a highly precise, detail-driven work style. This role requires someone who is intellectually sharp, proactive, resourceful, and comfortable creating order and structure in a fast-paced, high-expectation environment. You will serve as a trusted right hand to the CEO—managing complex workflows, sensitive personal matters, and ensuring seamless support across all aspects of his business and personal life.
RESPONSIBILITIES: Executive Support to the CEO:
Manage the CEO’s complex calendar, priorities, and daily workflow.
Coordinate domestic and international travel, preparing detailed itineraries and ensuring seamless logistics.
Serve as a primary liaison for internal and external stakeholders.
Anticipate needs proactively, staying several steps ahead of the CEO at all times.
Personal Support & Household Operations:
Provide direct PA support to the CEO and his wife, including scheduling, appointments, errands, gifting, and vendor coordination.
Liaise with household staff, family office partners, and external vendors to maintain smooth personal and home operations.
Manage insurance renewals, household contracts, purchasing, inventory, and organizational systems.
Philanthropy & Foundation Coordination:
Support the family’s philanthropic and foundation commitments, including scheduling, documentation, research, and follow-up.
Coordinate communication with foundation staff, board members, and external partners.
Art Collection Management:
Assist with purchasing, cataloging, and maintaining records related to the family’s art collection.
Coordinate logistics, transportation, storage, insurance, and appraisals.
Maintain meticulous inventories and ensure accuracy across all art-related documentation.
Operations & Problem Solving:
Build structure in areas where processes are not yet established; streamline workflows and enhance overall efficiency.
Triage and resolve time-sensitive issues with discretion and sound judgment.
Remain flexible, steady, and solution-oriented, stepping into whatever is needed—large or small.
2–5 years of EA/PA or administrative experience supporting a senior executive or UHNW family.
Highly intelligent, polished, and capable of independent problem-solving.
Extraordinary attention to detail and a proactive, anticipatory approach.
Strong communication skills and ability to build trust quickly with the CEO, his family, staff, and external partners.
Comfortable balancing high-level executive support with hands-on personal responsibilities.
Discreet, professional, emotionally intelligent, and able to maintain strict confidentiality.
Experience with art collections, insurance, foundations, or UHNW operations is a strong plus.
Able to remain calm and composed in a fast-paced, high-expectation environment.
HOURS: Full-time, 5 days per week onsite in the New York office; flexibility required for occasional after-hours needs.
SALARY: $100K–$150K base + discretionary bonus + excellent benefits
