Executive Assistant/Office Manager to Founder & 3 Partners at VC Firm in Union Square

Our client, a VC firm in NYC, is looking to hire an Executive Assistant/Office Manager to support 3 Partners in their New York office. This person will also own day-to-day office management and assist with conference- and marketing-related events. They will provide high-level administrative support including complex calendar management, inbox support, travel arrangements, expense reports, and cross-time-zone coordination (including with their Tel Aviv office). This is an exciting opportunity to join a fast-paced, collaborative environment where the EA will be a true right hand and culture carrier. This is not a standard 9–5 role and requires flexibility for early mornings, evenings, and occasional limited weekend availability. This role is 5x days a week in-office.

RESPONSIBILITIES

  • Handle heavy scheduling across multiple stakeholders and time zones
  • Manage complex, ever-changing calendars and inboxes
  • Coordinate internal and external meetings; prepare agendas/materials and track follow-ups
  • Arrange domestic and international travel with detailed itineraries
  • Prepare and submit expense reports
  • Serve as gatekeeper and liaison between Partners and internal/external stakeholders
  • Support planning and execution of industry conferences, investor meetings, and marketing events
  • Manage vendor relationships (facilities, IT, cleaning, supplies, etc.)
  • Oversee office operations including stocking pantry/snacks and coordinating maintenance
  • Support onboarding and offboarding logistics
  • Partner closely with NY and Tel Aviv teams to ensure seamless coordination
  • Additional ad hoc administrative support as needed

REQUIREMENTS

  • 3+ years of Executive Assistant experience supporting senior leaders (Partner/C-suite level)
  • Experience supporting multiple executives simultaneously
  • Strong organizational skills and exceptional attention to detail
  • Excellent written and verbal communication skills
  • High level of discretion and professionalism
  • Ability to prioritize competing demands in a fast-paced environment
  • Comfortable working across time zones and outside standard hours when needed
  • Experience in VC, PE, finance, or professional services preferred
  • Office management and event planning experience a plus
  • Hebrew proficiency a plus
SALARY
Up to $175K + Discretionary Bonus + Benefits 

HOURS
8:30/9am-5:30/6pm + 24/7 availability
