Executive Assistant to Head of IR at Boutique Finance Firm

Our client, a boutique financial firm in Midtown, is seeking a polished and high-performing Executive Assistant to support their Head of Investor Relations and small, collaborative team. This is an exciting opportunity to join a well-respected firm in a highly visible role that sits at the center of investor communication and business development efforts.
The ideal candidate will bring 5+ years of administrative experience within financial services, ideally supporting Investor Relations or client-facing teams, and will thrive in a fast-paced, detail-oriented environment. This person should be proactive, professional, and team-oriented, with a strong service mindset and the ability to anticipate needs before they arise.
RESPONSIBILITIES
Provide seamless administrative and light personal support to the Global Head of Business Development and the broader IR team
Manage complex and ever-changing calendars, coordinating internal and external meetings and resolving scheduling conflicts with precision
Coordinate detailed domestic and international travel, including multi-leg itineraries, visas, and logistics
Prepare and process expense reports accurately and in a timely manner
Draft, edit, and proofread correspondence, presentations, and investor materials with a high level of attention to detail
Serve as a key liaison between executives, internal teams, and external stakeholders, including investors
Support the planning and execution of investor meetings, events, and roadshows
Maintain and update CRM systems, ensuring accuracy of investor data and interactions
Build and maintain strong relationships with investors, responding to requests in a timely and professional manner
Partner with the administrative team to ensure smooth day-to-day operations and coverage
REQUIREMENTS
5–10 years of administrative experience within financial services, ideally supporting Investor Relations, marketing, or client-facing teams
Proven ability to support senior executives in a fast-paced, high-volume environment
Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
Bachelor’s degree required
Exceptional attention to detail with strong written and verbal communication skills
High level of discretion, professionalism, and confidentiality
Proactive, solutions-oriented mindset with the ability to anticipate needs
Client-service driven with a collaborative, team-first approach
Flexible and adaptable with the ability to manage shifting priorities
SALARY $150–185K base (DOE) + discretionary bonus
HOURS 9:00am–5:00pm, with flexibility as needed
Monday–Friday, fully in office
