Our client, a fast-growing venture capital firm, is seeking an experienced Executive Assistant / Office Manager to support two senior executives and help oversee day-to-day office operations for their New York team. The firm has a small but highly active presence in NYC with under 10 professionals and a couple of administrative staff, and operates in a fast-paced, entrepreneurial environment where organization, responsiveness, and strong judgment are essential.
This role combines executive support with office management responsibilities and is ideal for someone who thrives in a high-energy environment. The position will involve managing complex calendars and travel, supporting the broader team, and ensuring the office runs smoothly day-to-day. The ideal candidate is detail-oriented, proactive, and comfortable operating in a dynamic environment where priorities can shift quickly. The firm is based in NoHo and operates fully in-office five days per week.
RESPONSIBILITIES:
Provide high-level executive support to two senior executives
Manage complex calendars, scheduling internal and external meetings
Coordinate detailed domestic and international travel arrangements and itineraries
Prepare and submit expense reports as needed
Serve as Office Manager for the New York office, ensuring smooth daily operations
Coordinate office logistics including supplies, stocking the pantry, and general office organization
Manage incoming mail and deliveries
Assist with planning and coordinating team events and internal gatherings
Support the broader team with administrative needs as they arise
Partner with the other administrative professional to ensure seamless support across the office
Maintain organization, responsiveness, and attention to detail in a fast-paced environment
Take on ad hoc projects and operational needs as required
REQUIREMENTS:
8–10 years of Executive Assistant experience supporting senior professionals
Prior experience in financial services preferred (venture capital, private equity, hedge fund, or investment banking), though flexible on background
Exceptional organizational skills and attention to detail
Ability to remain calm and effective in high-pressure or fast-moving situations
Strong emotional intelligence and interpersonal skills
Proactive, ambitious, and highly motivated personality
Flexible mindset with a willingness to help wherever needed
Excellent written and verbal communication skills
Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
HOURS:
9:00am–6:00pm
5 days per week in office (NoHo)
SALARY:
$150K–$225K base (DOE) + target bonus (~25%) + 100% covered health, dental, and vision + 401K with 4% match + lunch provided daily + cell phone and computer.
