Our client, a European private family office and lower middle market private equity investor, is opening its first U.S. office in Midtown Manhattan and is seeking a seasoned Executive Assistant / Office Manager to support the small New York team. With the majority of the firm based in Europe, the NYC office will initially consist of three professionals and will serve as the firm’s U.S. hub as they expand their investment presence.
This role will include a mix of executive support, office management, and occasional personal assistance to the Founder, an ultra-high-net-worth principal. Approximately 25% of the role will support the Founder directly, with the remainder focused on office management, supporting the team, and coordinating with vendors as the office grows. The firm anticipates adding additional Vice Presidents and Associates over the next 12 months, making this a great opportunity for a seasoned administrative professional who enjoys helping build structure in a growing office. This role is in office 5x a week.
RESPONSIBILITIES:
- Provide executive support to the Founder and New York team, including calendar management and meeting coordination
- Assist the Founder with occasional personal administrative support
- Manage domestic and international travel arrangements and itineraries
- Coordinate meetings, calls, and internal schedules across the U.S. and European teams
- Oversee day-to-day office operations for the New York office
- Serve as the primary point of contact for office vendors, building management, and service providers
- Coordinate office needs including supplies, facilities, and general upkeep
- Support the team with administrative tasks including document preparation and meeting logistics
- Help build structure and processes as the New York office grows
- Maintain confidentiality when handling sensitive information
- Assist with ad hoc projects and administrative needs as the office expands
REQUIREMENTS:
- 10+ years of experience supporting senior professionals, ideally within private equity, finance, or a family office
- Strong organizational skills and attention to detail
- Ability to operate independently in a small office environment
- Professional, polished, and discreet demeanor
- Comfortable managing both executive support and office management responsibilities
- Strong communication skills and the ability to interact confidently with senior stakeholders
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
- Calm, proactive, and solutions-oriented approach
- Someone comfortable in a steady-paced environment with occasional downtime
HOURS:
8:30am–5:30pm
In office Monday–Friday
SALARY:
$125K–$150K all-in cash compensation (DOE) + benefits + great perks.
