Junior Executive/Personal Assistant to Entrepreneur of Family Office -- Hybrid/Miami

Our client, a boutique family office in Miami, is seeking a polished and highly capable Junior Executive/Personal Assistant to support a dynamic Entrepreneur and his family. This is a unique opportunity to join a high-touch environment where no two days are the same. The ideal candidate is poised, discreet, and service-oriented, with a “no task too big or small” mindset and a natural ability to anticipate needs before they arise. This role is best suited for someone who takes pride in delivering white-glove support, thrives in a detail-driven environment, and enjoys being a trusted right hand. Candidates should have at least 3+ years of administrative experience post-graduation and bring a strong foundation of organizational and communication skills.

This position is based ~2–3 days per week at the family’s Miami residence.

RESPONSIBILITIES
  • Manage complex and ever-changing calendars, prioritizing and coordinating scheduling across personal and professional commitments
  • Coordinate seamless domestic and international travel (private and commercial), including detailed itineraries, accommodations, ground transportation, and logistics
  • Oversee inbox management, drafting and responding to correspondence with professionalism and discretion
  • Prepare, track, and reconcile expense reports and reimbursements accurately and in a timely manner
  • Provide high-level personal support, including coordinating medical appointments and claims, vehicle registration, dining reservations, shipping logistics (including artwork), and more
  • Assist with planning and executing small-scale charitable and personal events
  • Serve as a trusted liaison with vendors, service providers, and external contacts
  • Take ownership of ad hoc projects and day-to-day tasks, ensuring nothing falls through the cracks

REQUIREMENTS
  • 3+ years of administrative experience supporting executives and/or private individuals
  • Polished, professional demeanor with excellent written and verbal communication skills
  • Strong organizational and time management skills with exceptional attention to detail
  • Ability to multitask and thrive in a fast-paced, high-pressure environment
  • Highly proactive, resourceful, and able to work independently with minimal direction
  • Strong interpersonal skills with the ability to interact confidently with senior-level individuals and external partners
  • Proficiency in Microsoft Office and familiarity with expense management and travel tools
  • Discreet, dependable, and service-oriented with a positive, team-first attitude

SALARY
$80–100K base (DOE) + discretionary bonus

HOURS
9:00am–5:00pm, with flexibility to be reachable as needed
~2–3 days per week onsite at the Miami residence
