Executive Assistant to support Client Solutions Group at Midtown Finance Firm
Our client, a highly regarded global investment firm, is seeking a bright, polished, and proactive Executive Assistant to support members of their Client Solutions team. This is an exciting opportunity for someone who enjoys traditional executive support but is also eager to gain exposure to events, projects, client-facing initiatives, and broader team operations.
The team is primarily comprised of Managing Directors and Vice Presidents and is looking for someone who is organized, resourceful, and comfortable working in a fast-paced, relationship-driven environment. The ideal candidate will have a strong client-service mentality, excellent attention to detail, and a willingness to jump in wherever needed.
RESPONSIBILITIES
• Provide administrative support to senior members of the Client Solutions team, including Managing Directors and Vice Presidents
• Manage calendars and coordinate internal and external meetings across multiple schedules and time zones
• Arrange domestic and international travel, preparing detailed itineraries and managing changes as needed
• Prepare and process expense reports accurately and in a timely manner
• Assist with the planning and execution of client events, dinners, conferences, and other firm initiatives
• Coordinate event logistics including invitations, RSVPs, venues, catering, materials, attendee tracking, and day-of execution
• Support team projects and client-facing initiatives, helping track timelines, deliverables, and follow-up items
• Assist with meeting preparation, presentations, materials, and other client-related needs
• Maintain accurate contact information, databases, and team records
• Serve as a polished point of contact for clients and other external stakeholders
• Partner closely with other administrative professionals and internal teams to ensure seamless coordination and coverage
• Take ownership of ad hoc projects and additional responsibilities as the team continues to evolve
REQUIREMENTS
• 3+ years of administrative, project coordination, or related experience, ideally within financial or professional services
• Experience supporting multiple senior professionals in a fast-paced environment preferred
• Strong organizational and project management skills with exceptional attention to detail
• Polished written and verbal communication skills with a strong client-service mentality
• Experience coordinating events, meetings, or conferences is a plus
• Proactive, resourceful, and comfortable taking ownership without significant direction
• Calm and flexible with the ability to manage shifting priorities
• Collaborative team player with a positive, low-ego attitude and willingness to jump in wherever needed
• Strong proficiency in Microsoft Office, particularly Outlook, Word, Excel, and PowerPoint
SALARY
Up to $135K base + discretionary bonus + excellent benefits and perks, including complimentary daily lunch
HOURS
Monday–Friday, primarily onsite in Midtown Manhattan
Flexibility to work from home periodically as schedules and business needs allow (+ work from anywhere 4 weeks out of the year)
