Executive Assistant to Team at Midtown Asset Management Firm-5x a week

Our client, a leading diversified financial services and investment firm, is seeking a smart, proactive, and highly organized Executive Assistant to support four senior fund managers within its Alternative Fixed Income business. This is a high-impact role supporting a fast-moving and entrepreneurial team and will work closely with professionals across portfolio management, business development, and operations. 

The ideal candidate is someone who genuinely enjoys being several steps ahead and takes real ownership over keeping a busy team organized and operating efficiently. In addition to complex calendars and travel, this person will help track deliverables, anticipate recurring needs, prepare for meetings, and coordinate across multiple teams and workstreams. They are looking for someone who can connect the dots, recognize what needs to happen before being asked, and gradually become a trusted point person for the executives they support.

RESPONSIBILITIES
  • Provide high-level Executive Assistant support to four senior fund managers within Alternative Fixed Income
  • Manage complex and frequently changing calendars, proactively resolving conflicts and prioritizing time based on business needs
  • Coordinate detailed domestic and international travel across multiple time zones, including itineraries and contingency planning
  • Prepare agendas, briefing materials, and follow-up notes for internal and external meetings
  • Build and maintain systems for tracking deliverables, follow-ups, and recurring commitments across multiple workstreams
  • Anticipate recurring meetings, reporting cycles, events, and other priorities that require advance planning
  • Coordinate cross-functional initiatives and serve as a liaison between fund managers, business development, portfolio, and operations teams
  • Help ensure communication, information, and outstanding items move efficiently across the broader team
  • Process expense reports and invoices accurately and in a timely manner
  • Anticipate administrative needs and proactively address issues before they arise
  • Handle confidential and sensitive information with discretion
  • Take on additional administrative and team-related projects as needed
REQUIREMENTS
  • 7+ years of experience supporting senior professionals in a fast-paced financial services, technology, or professional services environment
  • Experience supporting portfolio management, investment, or business development professionals strongly preferred
  • Demonstrated ability to manage complex calendars for multiple senior professionals
  • Strong domestic and international travel coordination experience across multiple time zones
  • Exceptionally organized with the ability to manage multiple priorities and deadlines simultaneously
  • Proactive and forward-thinking with strong instincts around anticipating needs and identifying potential issues
  • Strong ability to connect dots across people, priorities, and workstreams
  • Excellent written and verbal communication skills, including polished correspondence on behalf of senior leaders
  • Strong judgment and discretion when handling confidential information
  • Resourceful and comfortable operating independently with minimal oversight
  • Strong attention to detail and follow-through
  • Proficiency with Microsoft Office and common collaboration tools
  • Experience using AI tools to improve individual or team productivity is a plus 
HOURS & LOCATION
  • Monday through Friday, 9:00 AM–5:30 PM
  • Fully in-office, 5 days per week
  • Flexibility for occasional extended hours as needed
COMPENSATION & BENEFITS
  • $175–250K total compensation, including base salary + discretionary bonus
