Apply to Part-Time Personal Assistant to Private Family--UWS

Our client, a private family in New York City, is seeking a highly organized, detail-oriented, and responsive Part-Time Personal Assistant to provide hands-on support with household, personal, and family-related needs. This is an in-person role for someone who enjoys running errands, handling logistics, staying on top of recurring responsibilities, and taking care of the many details that keep a busy household organized.

The ideal candidate is incredibly communicative, articulate, flexible, and comfortable working collaboratively with the family's Executive Assistant. Strong communication and coordination will be particularly important, as responsibilities often overlap and information needs to flow seamlessly between the family, Personal Assistant, and Executive Assistant. This person should be proactive about providing updates, asking thoughtful questions when necessary, and following through without things falling through the cracks.

The family travels frequently and has a busy lifestyle, so while the regular schedule is approximately 8–12 hours per week, some flexibility will be needed for ad hoc requests and additional hours surrounding travel. This person must be extremely familiar with New York City and comfortable navigating the city efficiently.

RESPONSIBILITIES:

• Handle a wide range of personal and household errands throughout New York City
• Manage recurring household and personal tasks and ensure they are completed accurately and on time
• Assist with household administrative needs, including insurance, taxes, receipts, healthcare submissions, and related documentation
• Maintain organized records and assist with financial tracking
• Track and organize household expenses, including Wi-Fi, cellular, and other recurring expenses
• Collect and organize receipts and coordinate with the Executive Assistant on expense reporting
• Work closely and communicate consistently with the family's Executive Assistant
• Coordinate travel details with the Executive Assistant and help maintain accurate records of upcoming family travel
• Maintain shared travel information, including frequent flyer numbers, points, miles, travel credits, and other relevant information
• Assist with administrative details related to political donations and coordinate with the appropriate compliance team as needed
• Research personal requests and provide thoughtful options, recommendations, and next steps
• Handle errands from beginning to end, including sourcing items, presenting options, purchasing, pickup, and delivery
• Research and coordinate New York City activities, services, reservations, and other family needs
• Maintain consistent communication and provide timely updates on outstanding tasks
• Assist with ad hoc personal and household projects as they arise
• Handle highly confidential personal and financial information with discretion

REQUIREMENTS:

• Prior Personal Assistant, Household Assistant, Family Assistant, or similar experience preferred
• Extremely detail-oriented, organized, and reliable
• Highly responsive and communicative
• Articulate and professional with strong written and verbal communication skills
• Comfortable collaborating closely with an Executive Assistant and sharing information across responsibilities
• Proactive and resourceful with strong follow-through
• Able to work independently while knowing when to ask questions or provide updates
• Strong familiarity with New York City, including neighborhoods, transportation, activities, services, and vendors
• Comfortable running errands and spending a significant portion of the role out and about in NYC
• Able to research requests, identify several strong options, and execute once a decision is made
• Comfortable handling personal, household, healthcare, financial, and travel-related administrative tasks
• Flexible and willing to assist with ad hoc needs and occasional additional hours
• Strong judgment and discretion
• Must be willing to sign a confidentiality agreement
• Must be able to work in person in New York City

HOURS & SCHEDULE:

Approximately 8–12 hours per week, typically spread across 2–3 nonconsecutive weekdays.

Ideal schedule is approximately 4 hours per day, 2 days per week, with the possibility of 3 hours per day, 3 days per week. Days should not be consecutive, for example Monday/Thursday or Tuesday/Friday.

Preferred start time is between 8:30–9:30 AM. Some flexibility for additional hours may be needed around family travel or other ad hoc needs.

SALARY: 

Approximately $38/hour, depending on experience.

EMPLOYMENT: 

This individual will be employed through the family's business office. The role requires a confidentiality agreement.
