Executive Assistant to the Credit Management Team at an Asset Management Firm in Midtown

Our client, an alternative asset manager, is looking to hire a multifaceted Executive Assistant to support three senior executives on the Credit Management team, while also providing light administrative support to the broader team of analysts and associates. The successful candidate will have 4+ years of administrative experience with the desire for growth. Additionally, the ideal candidate will have a background in financial services. The successful candidate will be able to thrive in a fast-paced environment, work well under pressure and be detailed oriented and pro-active. This role requires the ability to handle clients and always be 10 steps ahead to handle. This is an exciting opportunity with a lot of potential! This role is 4x days/wk in-office and 1x day remote.
 
RESPONSIBILITIES:
  • Maintain calendars, contacts and tasks (primarily through Microsoft Office); schedule and coordinate internal and external meetings with different time zones
  • Coordinate domestic and international travel arrangements which include flights, car service, dinner reservations, client meetings, visas, etc.
  • Answer phone lines and take messages as needed
  • Provide client administrative support (assist with new client prospecting, providing clients with information and work heavily in Salesforce), etc.
  • Help prepare presentation materials
  • Manage research subscriptions
  • Review, edit and complete expense reports
  • Conduct research related to projects
  • Assist with special projects as needed; proactively anticipate work assignments and take on other reasonably related duties as assigned
 
QUALIFICATIONS:
  • 4+ years experience providing administrative/client support, ideally within finance
  • College degree preferred
  • Strong computer and Internet research skills
  • proficient in Microsoft Office (primarily Outlook, Excel, Word and PowerPoint)
  • Salesforce experience is a strong plus!
  • Strong organizational skills and attention to detail
  • Excellent communication skills – both verbal and written
  • Flexibility to juggle an extensive degree of multiple and changing priorities
  • Resourcefulness (especially online) in executing projects
  • Collaborative/teamwork attitude and skills is a must
  • Strong customer service experience skills
 
SALARY:
DOE + paid OT + discretionary bonus + excellent benefits
 
HOURS:
8:30am-5/5:30pm + ability to work OT as needed. 4x days in-office and 1x day remote.
