Executive Assistant to Founder of Fin-tech Start up-Fully Remote

Our client, a rapidly growing financial technology company, is seeking a polished, proactive, and highly organized Executive Assistant/Operations professional to support the CEO & Founder. Backed by an established financial services firm, the company is operating in a true startup environment and is fundamentally rethinking the lending experience through a combination of technology, AI, and a highly personalized approach.

This is a dynamic and highly visible role that goes well beyond traditional calendar and travel support. In addition to serving as the day-to-day Executive Assistant to the CEO & Founder, this person will play an important role in recruiting coordination, onboarding, company events, and employee experience. They will be a true culture carrier for the organization — helping create an environment where employees feel connected, recognized, and excited to be part of the company as it continues to scale.

The ideal candidate brings a strong financial services background coupled with experience working within a startup, high-growth, or entrepreneurial environment. They understand the polish, discretion, and pace required within finance, but are equally comfortable rolling up their sleeves, building processes from scratch, and wearing multiple hats within a growing company.

This is an excellent opportunity for someone who loves being an Executive Assistant but also wants meaningful ownership over the employee experience and culture of a growing organization.

This role is fully remote, but preference to candidates who sit on the East Coast of the United States.

RESPONSIBILITIES:

  • Provide comprehensive Executive Assistant support to the CEO & Founder, managing a complex and fast-moving calendar and ensuring his time is prioritized effectively
  • Coordinate domestic and international travel, including flights, accommodations, ground transportation, detailed itineraries, and real-time changes
  • Prepare agendas, briefing documents, and meeting materials for leadership and executive meetings
  • Track key deliverables, deadlines, follow-ups, and processes to ensure priorities continue moving forward
  • Serve as a central point of coordination across the CEO, executive team, employees, candidates, and external stakeholders
  • Own recruiting coordination in direct support of the CEO's involvement in the hiring process, including candidate communication, interview scheduling, logistics, and offer coordination
  • Coordinate the onboarding experience for new employees, including benefits enrollment, equipment, welcome materials, and first-day logistics
  • Take ownership of company culture and employee experience initiatives as the organization grows
  • Plan and execute company-wide events, team gatherings, celebrations, and other cultural programming
  • Create thoughtful ways to recognize employee birthdays, anniversaries, milestones, accomplishments, and other important moments
  • Help foster a connected, collaborative, and engaging workplace where employees feel recognized and valued
  • Build and maintain systems, trackers, and processes across executive support, recruiting, onboarding, events, and other concurrent workstreams
  • Identify opportunities to improve administrative and operational processes as the company continues to scale
  • Handle confidential and sensitive information with absolute discretion
  • Take on ad hoc administrative, operational, and culture-related projects as needed

REQUIREMENTS:

  • 5+ years of Executive Assistant experience supporting C-level executives
  • Strong financial services experience required, ideally within investment management, private equity, hedge funds, banking, fintech, or a related financial services environment
  • Experience working within a startup, rapidly scaling company, or highly entrepreneurial environment strongly preferred
  • Proven ability to bring the professionalism and rigor of a financial services environment into a more fluid, build-as-you-go startup culture
  • Exceptional calendar management, organizational, and prioritization skills
  • Experience managing multiple concurrent workstreams without losing attention to detail
  • Prior experience with recruiting coordination and onboarding strongly preferred
  • Genuine interest in employee experience, events, and company culture, with demonstrated experience planning team events, celebrations, or culture-building initiatives
  • Naturally engaging and relationship-oriented with the ability to serve as a positive cultural presence across the organization
  • Highly proactive and comfortable building structure, processes, and systems where they may not already exist
  • Strong judgment and decision-making skills with the ability to determine when to escalate and when to handle matters independently
  • Excellent written and verbal communication skills
  • High level of discretion and professionalism
  • Tech-savvy and comfortable learning new systems and workflow tools
  • No-ego, team-oriented mentality with a willingness to jump in wherever needed
  • Bachelor's degree required

HOURS:

  • Monday through Friday, 8:30am–5:30pm ET
  • 24/7 availability as needed to support the CEO & Founder
  • Fully remote, with a preference for candidates based on the East Coast

SALARY:

  • $100,000–$250,000 base (DOE) + discretionary bonus + outstanding benefits
