Our client, a rapidly growing, private equity-backed veterinary healthcare organization, is seeking a confident, polished, and highly proactive Executive Assistant/ Office Manager to support its Founder/ CEO and COO while overseeing day-to-day operations for its New York City headquarters. The organization currently operates locations across several major U.S. markets and is entering an active period of expansion.
This position will focus approximately 80% on executive support and 20% on office management in their NYC office. The Executive Assistant will serve as a trusted extension of the Founder, taking ownership of his calendar, inbox, travel, events, and daily logistics. The role will also provide scheduling and administrative support to the COO and coordinate with other members of the executive team.
The ideal candidate has prior experience supporting a Founder or highly entrepreneurial CEO and is comfortable working with a decisive executive who moves quickly and maintains high standards. This person must possess natural confidence, excellent judgment, and the gravitas to engage credibly with board members, investors, physicians, and senior executives. They should be an effective gatekeeper who can protect the Founder’s time, push back appropriately, and keep priorities moving forward.
This is a hybrid position, 3 days/ week in the office, 2 days/ week WFH.

RESPONSIBILITIES
- Provide high-level executive support to the Founder/ CEO and COO
- Manage an extremely active and frequently changing calendar, coordinating internal and external meetings across the executive team
- Serve as a strategic gatekeeper, protecting the Founder’s time and ensuring meetings remain focused and on schedule
- Manage the Founder’s inbox, communications, priorities, and follow-up items
- Coordinate travel approximately, including transportation, accommodations, and detailed itineraries
- Assist with logistics related to the Founder’s time between New York City and Westchesterhomes
- Plan and coordinate private dinners, board-related engagements, physician events, and other executive gatherings
- Anticipate needs, identify potential conflicts, and resolve logistical issues before they arise
- Develop a strong understanding of the Founder’s preferences and working style
- Coordinate scheduling and logistics with other executives and key internal stakeholders
- Support administrative and logistical needs related to mergers, acquisitions, and the organization’s continued expansion
- Oversee day-to-day operations for the New York City headquarters
- Manage vendors, supplies, deliveries, facilities requests, and general office logistics
- Ensure conference rooms and common areas remain organized, professional, and presentation-ready
- Support office meetings, team events, and other operational initiatives
- Take ownership of ad hoc administrative and operational projects as needed
REQUIREMENTS
- 5-7+ years of Executive Assistant experience supporting a Founder, CEO, or other senior executive in a fast-paced, entrepreneurial organization
- Prior experience working closely with a Founder or highly involved executive strongly preferred
- Experience within a private equity-backed, healthcare, multi-site, or rapidly scaling organization is valuable
- Exposure to mergers and acquisitions, integration efforts, or other significant periods of organizational growth is strongly preferred
- Demonstrated expertise in managing complex calendars, inboxes, travel, events, and executive logistics
- Confident and composed, with the ability to push back appropriately and hold senior leaders accountable
- Professional presence and natural gravitas when communicating with board members, investors, physicians, and senior executives
- Exceptional organizational skills and meticulous attention to detail
- Proactive, resourceful, and able to anticipate needs with minimal direction
- Excellent written and verbal communication skills
- Strong judgment and the ability to handle sensitive information with discretion
- Comfortable operating with urgency in an environment where priorities can shift quickly
- Willingness to take ownership of both executive support and hands-on office management responsibilities
$140-150K base (DOE) + discretionary bonus + healthcare benefits
HOURS
- Full-time position based in New York City
- Hybrid schedule requiring a minimum of three days per week in the office, currently Monday, Wednesday, and Thursday
- Additional in-office availability may be expected as the organization’s schedule and business needs evolve
- Occasional travel may be requested for significant company events or office-related initiatives
