Our client, a highly regarded global investment firm, is seeking an experienced and polished Executive Assistant to support a senior executive leading a growing business and his team. This is an exciting opportunity to join an established investment platform while becoming an integral part of a newer group that is continuing to build and expand. The ideal candidate will be calm, polished, and highly proactive, with a strong client-service mentality and the ability to anticipate needs in a fast-moving environment. This person will initially serve as the primary EA for the team, with the potential for additional administrative support to be added as the business grows. Extensive travel coordination—particularly international travel to Asia—will be a significant component of the role.
RESPONSIBILITIES
• Provide high-level administrative support to a senior executive and broader investment team
• Manage complex and ever-changing calendars, thoughtfully prioritizing meetings and resolving conflicts
• Coordinate extensive domestic and international travel, particularly to Asia, including multi-leg itineraries, hotels, ground transportation, visas, and other logistics
• Prepare detailed travel itineraries and proactively manage last-minute changes across multiple time zones
• Coordinate internal and external meetings with clients, investors, and other senior-level stakeholders
• Serve as a polished and professional point of contact for clients and external relationships
• Prepare and process expense reports and maintain accurate records
• Assist with meeting preparation, materials, conference logistics, and team-related projects
• Anticipate the needs of the executive and team, proactively following up on outstanding items and ensuring nothing falls through the cracks
• Partner with the broader administrative team and provide additional support as the business continues to grow
REQUIREMENTS
• 7+ years of Executive Assistant experience, ideally within financial services or another fast-paced professional environment
• Significant experience supporting senior executives and investment professionals strongly preferred
• Extensive domestic and international travel coordination experience
• Exceptional organizational and calendar management skills with outstanding attention to detail
• Polished written and verbal communication skills with a strong client-service mentality
• Calm, steady demeanor with the ability to navigate changing priorities and high-pressure situations
• Highly proactive and able to anticipate needs without requiring significant direction
• Strong judgment, discretion, and professionalism when handling confidential information
• Collaborative, team-oriented personality with a positive and flexible attitude
• Strong proficiency in Microsoft Office, particularly Outlook, Word, Excel, and PowerPoint
SALARY
$130-140K base + discretionary bonus + excellent benefits and perks, including complimentary daily lunch
HOURS
Monday–Friday, 9am-6pm primarily onsite in Midtown Manhattan
Flexibility to work from home periodically as schedules and business needs allow
