Jr. Executive Assistant/Office Coordinator at Boutique Hedge Fund in Midtown--5x a week in office

Our client, a boutique investment firm focused on niche strategies across real assets and public/private markets, is seeking a polished and proactive Executive Assistant / Office Coordinator to support their growing team. The firm operates at the intersection of hedge fund and private equity investing, with a focus on differentiated opportunities across hard assets including real estate, natural resources & commodities (livestock), and infrastructure, among others.

This is a highly visible, hands-on role supporting a small but dynamic team (approximately 8 professionals across multiple locations, with a core presence in NYC). The position will serve as the operational hub of the office — supporting day-to-day administrative needs, coordinating logistics, and helping to build infrastructure as the firm continues to scale.  The ideal candidate is organized, personable, and entrepreneurial, with a strong willingness to learn and grow into a broader operations role over time.  The firm values collaboration, energy, and a strong team culture — they are looking for someone who will bring a positive presence to the office.  For the right candidate, this role offers a clear path to grow into a broader operations or office management position as the firm continues to expand.

This role is based in Midtown Manhattan and requires 5 days per week in-office.

RESPONSIBILITIES:

  • Provide administrative support including calendar management, travel coordination, and expense processing
  • Manage office operations including supplies, vendors, mail, and overall organization
  • Serve as the first point of contact for guests, maintaining a polished and welcoming office environment
  • Support investor-related logistics including conference coordination and materials organization as needed 
  • Assist with onboarding processes, IT coordination, and general team support
  • Maintain organized files, systems, and internal documentation
  • Coordinate meetings, internal communications, and team logistics
  • Support planning and execution of team events and firm initiatives
  • Partner with leadership on operational needs and help build processes as the firm grows
  • Take on ad hoc projects across administrative and operational functions

REQUIREMENTS:

  • 3-7 years of experience in executive support, office coordination, or administrative roles
  • Strong organizational skills with excellent attention to detail
  • Professional, polished, and client-facing demeanor
  • Warm, personable, and hospitality-oriented — comfortable being at the front desk of the office
  • Proactive, resourceful, and eager to take ownership
  • Ability to operate in a fast-paced, entrepreneurial environment
  • Strong communication skills and ability to work across a small, collaborative team
  • Interest in growing into a broader operations or office management role over time
  • No-ego, team-first mindset with a willingness to pitch in wherever needed

SALARY:

$80-$125K base (DOE) + discretionary bonus + stipend for health care

HOURS & LOCATION:

Monday through Friday

8:30am – 5:30/6:00pm (aligned with daily team cadence)

Fully in-office, 5 days per week
