Apply to Administrative Associate to wear many hats at small, midtown investment firm
Our client, a highly regarded financial services firm, is seeking a bright and motivated Administrative Associate to join their collaborative team. This is an exceptional opportunity for someone early in their administrative career who is eager to learn, enjoys wearing multiple hats, and is looking to grow within a fast-paced, team-oriented environment.
The ideal candidate is proactive, resourceful, and has a positive, "no task too big or too small" attitude. This person will work closely with their Head of Client Services, as well as an EA/PA to their Founder, gaining exposure to many facets of the business—including executive support, office operations, and investor relations—while gradually taking on increased responsibility over time.
RESPONSIBILITIES
• Answer and direct incoming phone calls while serving as a professional first point of contact for clients and visitors
• Provide day-to-day administrative support to the team, assisting with a variety of projects and office initiatives
• Coordinate conference room schedules, prepare meeting spaces, and arrange catering and lunches for internal and external meetings
• Assist with the preparation and formatting of presentations, reports, and spreadsheets using PowerPoint and Excel
• Maintain and update the firm's CRM database, ensuring client information is accurate and current
• Provide administrative support to the Investor Relations team, including updating investor materials, maintaining databases, and assisting with meeting preparation and special projects
• Support office operations, including ordering supplies and helping ensure the office runs smoothly
• Shadow a senior administrative professional and provide backup support during an upcoming leave of absence
• Assist with special projects and additional responsibilities as the role evolves
REQUIREMENTS
• 2–5 years of administrative or office support experience
• Strong proficiency in Microsoft Office, including Outlook, PowerPoint, and Excel (Pivot Tables a plus)
• Comfortable learning new technology, systems, and software
• Exceptional organizational skills with strong attention to detail
• Excellent written and verbal communication skills with a polished, professional demeanor
• Positive attitude, strong work ethic, and genuine desire to learn and grow
• Team-oriented with a low-ego mindset and willingness to jump in wherever needed
• Ability to manage multiple priorities and thrive in a fast-paced environment
SALARY
$75-$100K base (DOE) + bonus + excellent benefits
HOURS
Monday–Friday, 9:00am–6:00pm
5 days per week onsite
