Our client, a leading financial services firm, is seeking an experienced Executive Assistant to provide coverage for a maternity leave within their Equities business. This role sits on a fast-paced trading floor and will support a team of approximately 24 professionals, including Managing Directors and Directors.
This is a high-volume, execution-focused role requiring someone who is comfortable operating in a demanding, front-office environment. The position will report into the Senior Executive Assistant and requires strong partnership, attention to detail, and the ability to manage competing priorities with speed and accuracy.
This is a contract opportunity running from September through mid-March, and requires 5 days per week in-office.
RESPONSIBILITIES:
• Provide administrative support to a team of approximately 24 professionals on a trading floor
• Manage high-volume, complex scheduling across internal and external stakeholders
• Coordinate domestic and international travel arrangements, including detailed itineraries and last-minute changes
• Process heavy expense reporting (T&E) with accuracy and efficiency
• Support senior team members with calendar management and prioritization as needed
• Serve as a key point of contact for internal and external stakeholders
• Partner closely with the Senior Executive Assistant to ensure seamless coverage and team support
• Anticipate needs and proactively address issues in a fast-moving environment
• Assist with reporting, tracking, and general administrative responsibilities
• Support ad hoc team initiatives and projects as needed
REQUIREMENTS:
• 4–10 years of Executive Assistant experience within financial services (sales & trading, equities, investment banking, hedge fund, or asset management)
• Prior experience supporting multiple professionals in a high-volume environment required
• Strong preference for candidates with direct trading floor or similarly fast-paced front-office experience
• Demonstrated ability to manage complex calendars, travel, and expense reporting
• Experience with Concur required; familiarity with travel booking systems (e.g., Ovation) preferred
• Ability to thrive in a fast-paced, deadline-driven environment with constant competing priorities
• Exceptional attention to detail and strong organizational skills
• Professional, polished demeanor with strong communication skills
• High level of discretion, judgment, and emotional intelligence
• Team-oriented with a proactive, “no task too small” mindset
HOURS:
• Monday through Friday
• 8:00am – 5:00pm
• Fully in-office (5 days per week)
COMPENSATION:
• $85,000–$100,000 base equivalent (hourly breakdown DOE)
• Overtime eligible
