Our client, a highly successful and entrepreneurial real estate investment and development firm based in Westchester County, NY, is seeking an Executive/Personal Assistant to support the Founder & Managing Principal. The firm has been operating for over 25 years and manages a diverse portfolio of real estate investments, development projects, construction, design, and asset management initiatives across multiple verticals.
This is a highly visible, all-encompassing support role that will act as a true right hand to the Founder, helping manage both professional and personal responsibilities in a fast-paced, dynamic environment. The ideal candidate will be calm under pressure, exceptionally organized, proactive, polished, and capable of operating with a high level of discretion and emotional intelligence.
The Founder is looking for someone who can seamlessly integrate into his day-to-day life and business operations, helping create structure, organization, and efficiency across all aspects of his world.

RESPONSIBILITIES — The position will consist of approximately a split of 40% Executive Assistant support, 40% Personal Assistant support, and 20% Team/Chief of Staff-style coordination
- Manage an extremely active and ever-changing business and personal calendar
- Serve as a true gatekeeper and strategic partner to the Founder & Managing Principal
- Coordinate heavy domestic and international travel arrangements with detailed itineraries
- Handle scheduling and logistics related to investors, lenders, meetings, and presentations
- Assist with preparation and coordination of quarterly investor communications and presentation materials
- Coordinate meetings, property tours, site visits, and team/vendor logistics
- Support internal team coordination and operational follow-through across various projects
- Assist with company events, offsites, and corporate retreats
- Handle personal assistant responsibilities including family scheduling, gifting, appointments, reservations, and day-to-day personal logistics
- Conduct research and assist with ad hoc projects as needed
- Provide high-touch support while maintaining absolute confidentiality and professionalism
- Anticipate needs before they arise and help streamline the Founder’s day-to-day operations
REQUIREMENTS
- Bachelor’s Degree preferred
- 10-15+ years of Executive Assistant and/or Personal Assistant experience supporting high-level executives or founders
- Previous experience within real estate, finance, investment management, private equity, or entrepreneurial environments strongly preferred
- Exceptional organizational and time management skills
- Ability to manage multiple priorities simultaneously in a fast-paced environment
- Highly polished communication skills, both written and verbal
- Strong sense of urgency and follow-through
- Proactive, resourceful, and solutions-oriented mindset
- High level of discretion, confidentiality, and professionalism
- Calm demeanor with the ability to work alongside a meticulous and detail-oriented executive
- Strong proficiency in Microsoft Outlook, PowerPoint, Word, and Excel
- Must be comfortable with a highly hands-on role that blends business, office administration, and personal support responsibilities
HOURS
- Primarily in-office in Westchester County, NY
- Standard business hours with flexibility and responsiveness outside of hours as needed
- The company would like this person to begin fully in-office for training and integration purposes, with the opportunity for work-from-home flexibility on Fridays over time
