Our client, a successful entrepreneur and investor, is seeking a highly organized and resourceful Personal Assistant to support both the Principal and family. This role will work closely with an established executive support team, including the Executive Assistant, Chief of Staff, and household staff, making collaboration, communication, and flexibility essential. The successful candidate will have exceptional attention to detail, outstanding organizational skills, and a true passion for delivering white-glove support.
RESPONSIBILITIES
- Coordinate complex domestic and international travel for the Principal, family, and guests, including commercial and private flights, hotels, ground transportation, dining reservations, and activities
- Prepare detailed travel itineraries and trackers, ensuring every aspect of each trip is thoughtfully planned and executed
- Manage personal projects, including home-related initiatives, renovations, luxury assets, and other special projects
- Coordinate closely with household staff, vendors, and service providers to ensure the family's day-to-day operations run smoothly
- Assist with appointments, errands, shopping, and other personal logistics as needed
- Collaborate with the Executive Assistant, Chief of Staff, and broader support team to ensure seamless coordination between business and personal commitments
- Build strong relationships with family members and trusted vendors while maintaining the highest level of discretion and confidentiality
- Assist with planning holidays, celebrations, family gatherings, and special events
- Monitor ongoing projects and proactively follow up to ensure deadlines and commitments are met
- Take ownership of ad hoc projects and personal requests with a positive, "no task too big or too small" attitude
REQUIREMENTS
- 5+ years of Personal Assistant or Executive/Personal Assistant experience supporting a C-suite executive, entrepreneur, or UHNW family
- Extensive experience coordinating complex domestic and international travel
- Exceptional organizational skills with the ability to manage multiple priorities simultaneously
- Polished written and verbal communication skills
- Strong proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)
- Highly resourceful, proactive, and solutions-oriented with excellent attention to detail
- Comfortable working collaboratively with executives, family members, household staff, and vendors
- Ability to maintain complete confidentiality and exercise sound judgment at all times
- Miami-based (or willing to relocate) with flexibility to run local errands and travel as needed
- Valid driver's license preferred
SALARY
DOE + discretionary bonus + excellent benefits
HOURS
Hybrid schedule based in Miami with flexibility to support the Principal and family as needed
Availability outside of traditional business hours, including occasional evenings, weekends, and travel, is expected based on the family's schedule.
