Our client, a leading global financial services firm, is seeking a highly capable and proactive Executive Assistant to support the Global Head of Technology, along with a team of three Managing Directors and two Directors. This is a high-impact role within a fast-paced, demanding environment, with the majority of support focused on the Global Head of Technology.
This is an excellent opportunity for a career Executive Assistant with 5–7 years of experience, ideally within financial services, who has supported senior leadership and is looking to step into a more dynamic, high-exposure role. The ideal candidate is polished, organized, and proactive, with strong judgment and the ability to take ownership and operate independently.
This role requires someone who is detail-oriented, responsive, and comfortable driving priorities forward in an environment where direction may not always be clearly defined. A strong sense of accountability and the ability to stay one step ahead will be key to success in this position.
This position is fully in-office, five days per week.
RESPONSIBILITIES:
• Provide high-level administrative support to the Global Head of Technology, with additional support to three Managing Directors and two Directors
• Manage complex and ever-changing calendars, including prioritization of meetings and competing demands
• Coordinate extensive domestic and international travel, including detailed itineraries and last-minute changes
• Prepare and process expense reports in a timely and accurate manner
• Serve as a key point of contact for internal and external stakeholders
• Track priorities, follow up on action items, and ensure deadlines are met
• Assist in streamlining communication and ensuring efficient day-to-day operations
• Coordinate meetings, conference rooms, and logistics across multiple senior stakeholders
• Anticipate needs and proactively solve problems before they arise
• Partner with other administrative staff to ensure seamless coverage and support
• Take on ad hoc projects and additional responsibilities as needed
REQUIREMENTS:
• 5–7 years of Executive Assistant experience, ideally within financial services
• Experience supporting senior executives at the Managing Director level strongly preferred
• Strong organizational skills with exceptional attention to detail
• Ability to manage multiple priorities in a fast-paced, high-pressure environment
• Proactive, resourceful, and able to operate independently
• Strong communication skills with the ability to interact effectively with senior stakeholders
• High level of professionalism, discretion, and judgment
• Demonstrated ability to take ownership and follow through on tasks
• Comfortable navigating different personalities and working styles
• Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
HOURS:
• Monday through Friday
• 8:30am – 5:30pm (flexibility required for overtime)
• Fully in-office (5 days per week)
COMPENSATION:
• $100,000–$112,500 base (DOE)
• Overtime eligible
• Discretionary bonus
