Our client, a growing specialty biotech and clinical research organization based in LA, is looking to hire a highly proactive Executive Assistant to support the CEO. This is a unique opportunity for someone who thrives in fast-paced, entrepreneurial environments and enjoys being at the center of the action. The ideal candidate will be incredibly organized, resourceful, tech-savvy, and capable of managing competing priorities with sound judgment and urgency. This person will serve as a true right hand to the CEO, helping drive initiatives forward, managing critical communications, and ensuring the organization stays aligned and moving efficiently. The successful candidate should have prior experience supporting senior executives, possess excellent problem-solving skills, and be excited by the opportunity to wear many hats within a growing company. This role is 5 days a week in-office.
RESPONSIBILITIES
- Manage the CEO's calendar, meetings, and priorities, ensuring time is allocated strategically across clients, employees, vendors, investors, and prospects
- Coordinate agendas, pre-reads, meeting materials, follow-up items, and action plans
- Track company-wide initiatives, commitments, deadlines, and open projects to ensure nothing falls through the cracks
- Draft communications, emails, and correspondence on behalf of the CEO
- Act as a liaison between the CEO and internal/external stakeholders
- Help identify, prioritize, and execute operational initiatives and process improvements
- Coordinate client visits, board meetings, recruiting efforts, and special projects
- Manage relationships with vendors and outside partners
- Assist with office operations and administrative needs as required
- Own and drive projects independently, leveraging technology, vendors, and internal resources to achieve results
- Help create structure, accountability, and operating cadence across the organization
REQUIREMENTS
- 3-7+ years of Executive Assistant, Chief of Staff, Operations, or similar experience supporting senior leadership
- Bachelor's degree preferred
- Highly organized with exceptional attention to detail
- Strong business judgment and problem-solving skills
- Excellent written and verbal communication skills
- Ability to manage multiple priorities in a fast-paced, growing environment
- Tech-savvy and comfortable learning new systems and tools
- Self-starter who can work independently and proactively identify solutions
- Ability to maintain confidentiality and exercise discretion
- Professional, polished, and adaptable demeanor
- Must be comfortable working onsite 5 days per week
SALARY
$85-125K + discretionary annual bonus + benefits
HOURS
Typically 9:00 AM - 6:00 PM, though hours may flex depending on business needs, client visits, audits, board meetings, and special projects. This role requires flexibility and a willingness to be available when needed.
