Our client, a rapidly growing consumer technology company is seeking a ROCKSTAR Executive & Personal Assistant to support the CEO and Founder. This person will serve as a true right hand and strategic partner, seamlessly managing both business and personal priorities while helping create structure, efficiency, and leverage for a high-performing founder. This is a highly visible role that requires exceptional attention to detail, sound judgment, and a proactive, no-task-too-small mentality. The ideal candidate thrives in fast-paced environments, loves anticipating needs before they arise, and enjoys operating at the center of both professional and personal operations. This role is 5x days/wk in-office and requires flexibility outside of traditional business hours as needed, as the CEO travels about 300+ days out of the year.
RESPONSIBILITIES
• Provide high-level executive and personal support to the CEO and Founder
• Own and manage a complex, ever-changing calendar, ensuring priorities are aligned and time is utilized effectively
• Coordinate extensive domestic and international travel, including flights, accommodations, transportation, dining reservations, and contingency planning
• Prepare meeting agendas, briefing materials, pre-reads, and follow-up items to ensure the CEO is fully prepared
• Draft, edit, and manage communications on behalf of the CEO
• Serve as a gatekeeper for inbound requests, exercising discretion and strong judgment
• Track and drive strategic initiatives, projects, deadlines, and action items originating from the CEO's office
• Interface with senior executives, board members, investors, and external partners with professionalism and polish
• Oversee personal household operations, including vendor management, maintenance scheduling, deliveries, appointments, and errands
• Manage personal projects such as relocations, renovations, gifting, special events, and other ad hoc initiatives
• Coordinate family logistics, personal travel, and guest accommodations as needed
• Anticipate needs before they arise and proactively solve problems to create a seamless experience for the CEO
• Create and maintain systems, processes, and organizational structures that ensure nothing falls through the cracks
• Handle highly confidential information with the utmost discretion
REQUIREMENTS
• 7+ years of Executive Assistant, Personal Assistant, Chief of Staff, or related experience supporting a C-level executive, Founder, or CEO
• Previous experience within a startup, venture-backed company, technology company, or entrepreneurial environment strongly preferred
• Proven ability to manage complex calendars, travel, projects, and competing priorities simultaneously
• Exceptional organizational, communication, and project management skills
• Strong written and verbal communication skills
• Ability to anticipate needs, think several steps ahead, and execute with minimal direction
• Outstanding attention to detail and commitment to excellence
• Ability to remain calm and resourceful in high-pressure situations
• High level of discretion and sound judgment
• Proficiency with Google Workspace, Slack, and modern productivity tools
• Comfortable supporting both business and personal matters
• Bachelor's degree preferred
• Willingness to be onsite in NYC and available outside of traditional business hours as needed
