EA/PA/Jr. Chief of Staff to the Founder of a VC in SF -- Must be out of Ivy League

Our client, a renowned VC focused on AI, in San Francisco, is looking for a rockstar Chief of Staff/ Executive & Personal Assistant/ Office Manager, who can seamlessly support the Founder and be a strategic partner to him and the team as a whole. This role is multi-faceted and has the core admin responsibilities including calendar management, event planning and management, travel coordination, personal work and many ad hoc strategic projects. The successful candidate will also plan internal and external company events, client dinners and team building activities. Having the ability to multitask and prioritize tasks is key. This is a great opportunity for someone to build and grow their career within an innovative and growing company. This candidate must be out of an Ivy League Institution. This role is 3-4x days a week in-office and whenever the Founder isn't traveling. 
 
RESPONSIBILITIES
  • Perform administrative, executive, and personal assistant duties as directed for the Founder, and other senior managers and colleagues
  • Travel coordination for the company (creating procedures, policies, negotiating with hotels, etc.)
  • Maintain a high-volume schedule and personal calendar; maintain contacts
  • Prepare and submit personal expenses
  • Set meetings/ prepare meeting notes and presentations as needed 
  • Screen and handle calls, provide information, take messages and schedule appointments
  • Assist with recruiting (scheduling logistics with regards to phone and on-site interviews, follow up, etc.)
  • Assist in the coordination of onboarding process for new hires
  • Supporting finance/ accounting department as needed, help with wiring of funds, etc. 
  • Plan/ oversee arrangements for various meetings and corporate events  (e.g. team building events, client events, team dinners, holiday party, etc.)
  • Contribute to the promotion of a creative, productive, collaborative, and enjoyable work environment, including the management of ongoing employee programs and projects
  • Work on ad-hoc special projects as needed
  • Handle personal tasks for the founder including running errands (dry cleaning, lunches, etc.)
  • Oversee three other remote EAs (located outside the US)
 
REQUIREMENTS
  • Bachelor’s Degree from an Ivy League school HIGHLY preferred.  Open to degrees from a top 50 college
  • 3-5+ years executive assistant/ project management experience 
  • Previous experience working in a fast-paced and high-demand environment
  • Willingness to roll up your sleeves and get a task done, no matter how small
  • Outstanding interpersonal, administrative, organizational, and communications skills, both written and verbal
  • Self-motivation, extraordinary attention to detail (including timeliness), and an internal drive to produce high-quality work with the ability to manage multiple projects and tasks simultaneously
  • Proven ability to exercise sound judgments, maintain confidentiality, and operate both independently as well as a part of a collaborative team
  • Demonstrated ability to set priorities and anticipate needs as well as the ability to work directly with all levels of staff/ vendors/ clients
  • Ability to create new processes and efficiencies and execute them effectively
  • Proficiency with Microsoft Office Suite (Word/ Excel/ PowerPoint/ Outlook) and Google Suite

SALARY
$200-225K (DOE) on a base + discretionary bonus + benefits

HOURS 
9am-6pm + 24/7 avail via phone and email
