Executive Assistant to CFO & President of a Hospitality/Events Group in Downtown Manhattan

Our client, a boutique hospitality/workplace driven firm located in Downtown Manhattan is seeking an exceptional Executive Assistant to provide high-level support the CFO and President. This is a unique opportunity to work closely with visionary leaders in a fast-paced, entrepreneurial environment while collaborating with a strong internal team that includes other professionals. The ideal candidate will be highly organized, proactive, and polished, with the ability to anticipate needs and seamlessly manage shifting priorities. This role requires someone who thrives in a dynamic setting, enjoys being deeply involved in the day-to-day flow of the business, and can maintain the highest level of discretion and professionalism. The Executive Assistant will play a key role in ensuring the executive’s schedule, travel, and operations run smoothly across multiple ventures. This role is 5x/days a week in-office.

RESPONSIBILITIES
  • Provide high-level executive support including heavy calendar management, meeting coordination, and scheduling across multiple time zones
  • Arrange complex domestic and international travel, including detailed itineraries, logistics, and accommodations
  • Prepare and process expense reports and track receipts in a timely manner
  • Coordinate closely with the Director of People and Culture and other team members to ensure seamless support
  • Manage day-to-day communications including phone calls, meeting requests, and correspondence
  • Assist with personal administrative tasks and projects as needed
  • Ensure the executive is well-prepared for meetings, events, and travel commitments
  • Serve as a liaison with internal teams, external partners, and vendors
  • Help coordinate logistics for meetings, events, and special projects across various business ventures
  • Maintain the highest level of confidentiality and professionalism in all interactions
  • Personal work as needed: liaising with family members, booking appointments and reservations, etc. 


REQUIREMENTS
  • 10-12+ years of experience supporting a C-level executive or senior leader in a fast-paced environment
  • Strong experience managing complex calendars, travel arrangements, and expense reporting
  • Exceptional organizational skills with the ability to manage multiple priorities simultaneously
  • Excellent written and verbal communication skills with a polished and professional demeanor
  • Highly proactive with strong problem-solving abilities and attention to detail
  • Comfortable working collaboratively with a team while also operating independently
  • Ability to handle sensitive and confidential information with discretion
  • Flexibility to travel and support an executive with a demanding schedule
  • Proficiency in Microsoft Office and common scheduling/communication platforms

SALARY
$130-150K on a base + Great Benefits  

HOURS
9am-6pm + flexibility to be reachable after hours
This role is Monday-Friday in-office
