Executive Assistant to 3 Executives at Dynamic Investment Firm in Midtown

New York, NY

Our client, a highly reputable investment firm based in Midtown East, is looking for an Executive Assistant to help assist a Principal, Group Head and a Senior Associate. The ideal candidate will have 5+ years of applicable experience with a fast-paced style. The successful candidate will be resourceful, have the ability to multi-task with ease and a willingness to roll up their sleeves and take on any responsibilities assigned. This is a great opportunity to assist executives at a reputable firm with an excellent culture! This role is in the office 5x a week.
 
RESPONSIBILITIES                            
  • Maintain very high-volume, ever-changing calendars and schedules for two executives 
  • Organize and coordinate meetings 
  • Set complex travel arrangements (both domestic and international), including itineraries and full logistics
  • Process expense reports 
  • Coordinate internal and external events with high profile attendees 
  • Light phone management: screen and forward calls, provide information, take messages and schedule appointments
  • Inbox management: assisting with timely responses and drafting correspondence as needed
  • Prepare and manage documents 
  • Provide light back-up to other administrative staff when needed 
  • Ad hoc projects, special assignments as requested, including client-facing work

REQUIREMENTS
  • 5 plus years of prior administrative experience ideally with support to senior level executives
  • Excellent written and verbal communication skills
  • Knowledge of office procedures and keen attention to detail 
  • Strong working knowledge of computers and relevant software applications, must be highly skilled in use of Microsoft Outlook
  • Must be a self-starter and proactive; as well as punctual, dependable and discrete 
  • Ability to work well independently and as part of a team 
  • Must have a flexible attitude 
  • Strong time management skills; ability to handle multiple concurrent assignments in a fast-paced setting with a high degree of accuracy 
  • Strong communication and prioritizing skills required 
  • Bachelor's degree preferred

SALARY
$90-$100K (DOE) + Discretionary Bonus Opportunity + Great Benefits/Perks
 
HOURS
8am-5pm + flexibility if needed
