Executive Assistant to Partner at Boutique Capital Solutions Group in Midtown (Hybrid)

Our client, a boutique leading private capital solutions group, is looking to hire an involved Executive Assistant, to provide support to a Partner and light assistance to members of their team, when needed.  The successful candidate will have 5+ years of experience, be flexible, and have the ability to multi-task with ease. They will be a self-starter, possess confidence, and a positive attitude. Strong attention to detail and a hardworking mentality is a must. RESPONSIBILITIES:
  • Schedule meetings across multiple time zones, ensuring efficiency and minimal conflict
  • Manage calendars, with heavy scheduling and rescheduling
  • Screen and prioritize emails, calls, and requests
  • Heavy domestic and international travel coordination including private and commercial
  • Coordinate, prepare and distribute meeting materials (agendas, presentations, briefing notes)
  • Conduct research, pull information, prepare briefing notes
  • Liaise with external stakeholders
  • Assist with management of budgets and execute expenses
  • Coordinate event planning for events, conferences and team off-sites
  • Assist in administrative aspects of Roadshows 
  • Support with office operations (supplies, vendors, facilities as needed)
  • Ad hoc assignments as needed

REQUIREMENTS:
  • 5+ years of administrative experience, supporting teams or high-profile clients in a professional setting. Within finance or sales, and roadshow coordination, is a huge plus!
  • Highly organized – ability to juggle competing priorities and keep multiple moving pieces on track
  • Excellent time management and multi-tasking skills
  • Ability to effectively and extensively interact with all levels of senior ranking officers
  • A calm and flexible approach to handling pressure and ever-changing needs
  • Resourceful, ambitious and proactive
  • Creative problem solver and team player
  • Advanced working knowledge of Microsoft Office Suite
  • Bachelor’s Degree preferred

SALARY
$135-$165K (DOE) + Discretionary Bonus Opportunity + Benefits + 401K + Perks

HOURS
8am-4/5pm (DOE) + Flexibility if needed. This role is in the office 3-4x a week (based on business needs) / WFH 1-2x a week.
