Our client, a boutique VC firm in Madison Square, is looking for a strong, hands-on Executive Assistant to support the Managing Partner in a fast-paced, high-volume environment. This is a true execution partner role, owning the day-to-day coordination around the Managing Partner’s time, priorities, and follow-through, and making sure decisions turn into action. The EA will sit at the center of the business, helping manage multiple moving pieces, shifting priorities, and communication across the firm. RESPONSIBILITIES:
Operating System for the Managing Partner
- Own the system for capturing, prioritizing, and tracking all commitments, tasks, and follow-through related to the Managing Partner, and actively keep that system current and moving under changing conditions
- Ensure that decisions, requests, and promises are translated into clear owners, timelines, and next steps
- Notice risks, delays, or ambiguity before they become problems and proactively create structure or resolution
- Maintain a clear, current view of priorities, deadlines, and open loop
- Ensure that nothing important depends on memory or last-minute escalation
Email, Task & Information Flow Management
- Own the full flow of the Managing Partner’s inbox and incoming requests in a high-volume environment, including aggressive triage, prioritization, and decision-making
- Extract and track action items from email, meetings, and conversations
- Ensure tasks are assigned, scheduled, and driven to completion
- Ensure that relevant documents, contacts, and information are properly captured in the firm’s systems (CRM, files, task tools)
Calendar, Scheduling & Travel Management
- Own the Managing Partner’s calendar across professional and personal domains
- Treat the calendar as a strategic asset and actively shape it to reflect priorities, energy, and load, not just meeting requests
- Triage, negotiate, and schedule all meeting requests, including pushing back, restructuring, or declining as needed to protect priorities and focus
- Ensure meetings are well-prepared for and properly documented
- Own end-to-end travel planning and coordination for professional and personal travel
Strategic Cultivation & Relationship Infrastructure
- Support the Managing Partner and Head of Operations & Platform in maintaining a structured view of strategic
- relationships Maintain systems that track key relationships, important dates, and outreach cadence
- Draft or coordinate follow-ups, thank-yous, and outreach as needed
- Ensure that relationship cultivation is proactive, consistent, and well-supported, even during very full or high-pressure periods
Operations Support (As It Flows Through the Managing Partner)
- Ensure that high-volume operational flow does not become a bottleneck or source of drag for the Managing Partner
- Own expense management for everything related to the Managing Partner across all systems
- Support shared account and subscription management for the broader platform
- Act as the coordination point for anything requiring the Managing Partner’s approval, signature or review
- Work closely with the Head of Operations & Platform on operational execution that touches the Managing Partner (fund admin, finance, legal, tax, etc.)
- Own document and data hygiene for everything that flows through the Managing Partner’s inbox, calendar, or signature authority
- Provide light support on personal-adjacent operational matters where they intersect with the Managing Partner’s time and responsibilities
Platform & Strategic Leverage
- Protect and calendar time for strategic thinking and long-range planning
- Help translate ideas, notes, and rough inputs into drafts or usable artifacts quickly and with minimal iteration
- Support a sustainable cadence for writing, speaking, and external presence through coordination and logistics
- Ensure that strategic insights are reflected in priorities, projects, or changes in how the firm operates
QUALIFICATIONS:
- 5+ years of administrative experience. Within finance, start-ups, and supporting a founder, is a huge plus!
- Highly organized – ability to juggle competing priorities and keep multiple moving pieces on track
- Excellent time management and multi-tasking skills
- Ability to effectively and extensively interact with all levels of senior ranking officers
- A calm and flexible approach to handling pressure and everchanging needs
- Resourceful, ambitious and proactive
- Creative problem solver and team player
- Advanced working knowledge of Microsoft Office Suite and proficient with CRM systems
- Bachelor’s Degree preferred
SALARY:
$110-$130K (DOE) + Discretionary Bonus Opportunity + Benefits + 401K + Great PTO
HOURS:
8:30/9am-5:30/6pm (DOE) + Flexibility if needed. This role is in the office 1-2x a week (based on business needs)
