Hybrid & Part-time catch all Executive Assistant in Westchester County

Our client, a boutique logistics company, is seeking a highly organized and proactive Executive/Personal Assistant to support their CEO and Founder in both administrative and operational capacities. This is a dynamic, hands-on role for someone who thrives in a fast-paced environment, enjoys variety in their day-to-day, and takes pride in being the “go-to” person who keeps everything running smoothly. The ideal candidate will be detail-oriented, resourceful, and comfortable handling a mix of business and personal tasks, from managing schedules and travel to overseeing mail, deliveries, and special projects.
 
This is a hybrid position, requiring 1–2 days per week onsite in Dobbs Ferry, NY and occasional travel into Manhattan (once or twice per month).
 
RESPONSIBILITIES
  • Serve as the right hand to the CEO/Founder, providing both executive and personal support
  • Manage heavy scheduling, calendaring, and travel logistics to ensure the CEO stays on track and on time
  • Go into office and handle incoming and outgoing mail, prepare and send paperwork, and assist with claims, proposals, and correspondence
  • Draft letters, proposals, and communications with professionalism and attention to detail
  • Coordinate and organize deliveries, shipments, and operational logistics
  • Maintain organization across both office and home settings, ensuring systems run efficiently
  • Provide reminders and follow-ups to keep projects, meetings, and commitments on schedule
  • Support special projects, events, and administrative needs as they arise
  • Liaise with vendors, clients, and internal contacts as needed, maintaining professionalism and confidentiality at all times
  • Personal assistant support as needed including being at the house if contractors are scheduled, etc.
 
REQUIREMENTS
  • 5+ years of experience as an Executive/ Personal Assistant; prior experience supporting a Founder or small business owner a plus
  • Strong multitasking ability with a “no job too big or small” attitude
  • Excellent organizational and problem-solving skills, with the ability to anticipate needs and take initiative
  • Clear, polished written and verbal communication skills; strong attention to detail
  • Proficiency in Microsoft Office and/or Google Workspace
  • Comfortable working independently and remotely, with the flexibility to travel locally as needed
  • Reliable, trustworthy, and discreet, with the ability to manage sensitive information
  • Must be adaptable, proactive, and able to balance multiple priorities with ease
 
SALARY
$38-42/hour
 
HOURS
Monday–Friday, 8:00am–1:00pm (flexibility required)
Hybrid: 1–2 days per week onsite in Dobbs Ferry, occasional meetings in Manhattan
