High-Level Floater to support Executive Office at Global Hedge Fund

Our client, a global hedge fund, is seeking a highly skilled and adaptable Floater to support the firm’s Executive Office. This role requires a polished, proactive individual who can seamlessly step into different desks, supporting senior executives and their teams with precision and discretion. The ideal candidate will have experience in a fast-paced, high-pressure environment and the ability to quickly adapt to changing priorities. RESPONSIBILITIES
Provide seamless coverage for senior executives and their teams, often on short notice, ensuring uninterrupted workflow across the Executive Office
Manage demanding calendars with frequent changes, coordinating across multiple time zones and balancing complex scheduling priorities
Arrange detailed international and domestic travel itineraries, including flights, hotels, ground transportation, and logistics, ensuring efficiency and comfort
Prepare executives for meetings by compiling agendas, briefing materials, and follow-up documentation
Process and reconcile expense reports with accuracy and timeliness
Coordinate and support internal and external meetings, presentations, and events, ensuring flawless execution
Act as a trusted liaison between executives, their teams, and external stakeholders, always representing the firm with professionalism and discretion
Provide back-up support across administrative staff, stepping into roles as needed and learning quickly to ensure consistency of service
Assist with ad hoc projects, including research, data preparation, and document creation in PowerPoint and Excel
Anticipate needs and proactively resolve scheduling or logistical conflicts before they arise
REQUIREMENTS
Minimum of 4+ years of administrative experience, preferably in financial services or another high-intensity corporate environment
Bachelor’s degree strongly preferred
Proven ability to support C-suite or senior executives with discretion, professionalism, and judgment
Exceptional organizational skills with the ability to prioritize multiple demands in a fast-paced setting
Strong written and verbal communication skills, with polish and poise in client-facing interactions
High level of proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
Experience arranging complex international and domestic travel for executives
Team player with the flexibility and adaptability to provide coverage across different desks and working styles
Resourceful, proactive, and solution-oriented, with the ability to anticipate needs and act with initiative
