Sr. EA to Principal of Midtown Hedge Fund

Our client, a prestigious global hedge fund, is seeking a highly professional and detail-oriented Senior Executive Assistant to provide comprehensive support to a senior leader. This is a high-touch role within a fast-paced, dynamic environment that requires exceptional organizational skills, sound judgment, and the ability to anticipate needs. The role is fully in-office, 5 days per week, and requires a candidate who can operate with discretion and provide seamless support around the clock. The successful candidate will serve as a trusted partner to the executive, ensuring polished representation of both the executive and the firm.


RESPONSIBILITIES:

  • Manage complex scheduling and calendar management, ensuring punctuality and efficient meeting flow.

  • Organize, schedule, and arrange onsite and offsite meetings, including conference rooms and external venues.

  • Prepare and present meeting materials in advance of meetings and events.

  • Coordinate closely with the Executive’s personal assistant and chauffeur to align professional and personal schedules, responsibilities, and travel.

  • Answer and screen all incoming calls in a timely and professional manner, ensuring proper follow-up.

  • Track and communicate inbound requests or notifications from internal and external stakeholders.

  • Process and reconcile expense reports in a timely manner.

  • Coordinate domestic and international travel through the firm’s travel department, ensuring seamless itineraries.

  • Support event planning, including holiday parties, team offsites, and other firmwide initiatives.

  • Oversee office management duties specific to the executive, including supply inventory, guest registration, and building maintenance requests.

  • Collaborate with other assistants across the firm to ensure smooth coverage and seamless communication.

  • Perform ad hoc projects and additional responsibilities as assigned.


REQUIREMENTS:

  • 10+ years of executive assistant experience supporting senior-level executives.

  • Must have prior experience within financial services.

  • Proven ability to thrive in a fast-paced, high-pressure environment with shifting priorities.

  • Comfortable with 24/7 availability and providing seamless support outside of standard office hours.

  • Excellent communication skills—clear, professional, and succinct.

  • Strong organizational skills with exceptional attention to detail.

  • High level of professionalism, discretion, and interpersonal skills.

  • Advanced proficiency in Microsoft Outlook, Windows, and related technology tools.

  • Bachelor’s degree required.


HOURS:
8:30am–5:30pm in office, with flexibility for additional hours and full availability outside of office hours as needed.

SALARY:
$150–175K base + discretionary bonus + top-tier benefits.
