Temp-to-Perm Executive Assistant to 3 Partners at Boutique Private Equity Firm in Midtown

Our client, a private equity firm, is seeking an experienced Temp-to-Perm Executive Assistant to support 3 partners. The ideal candidate will thrive in a fast-paced, dynamic environment where flexibility, attention to detail, and professionalism are essential. This role requires a proactive, team-oriented individual who can manage complex schedules, coordinate extensive travel, and handle confidential information with discretion. A minimum of 8-10+ years of Executive Assistant experience—preferably in the finance industry—is required. This role is 5x days a week in-office.

RESPONSIBILITIES

  • Manage calls, appointments, meetings, and events for 3 partners, handling constant changes and rescheduling with flexibility and precision.
  • Arrange detailed domestic and international business and personal travel itineraries, including flights, accommodations, ground transportation, and agendas.
  • Organize internal and external meetings (including board meetings, client calls, and team sessions); set up Zoom or MS Teams meetings; prepare agendas and materials; order catering; manage conference room setup and cleanup; submit external attendees to lobby security; and greet visitors.
  • Draft, edit, and proofread documents, memos, presentations, and reports; ensure materials are accurate, bound, printed, and delivered on time; access drives and financial portals to locate and download required documents such as Schedule K-1 tax forms.
  • Process and reconcile monthly expense reports in line with company policies.
  • Provide office support by answering phones, handling mail, FedEx, and messenger deliveries; back up other assistants and the office manager; assist with projects, research, and ad hoc tasks; and support Associates as needed to ensure smooth office operations.
  • Maintain confidentiality and discretion in all matters.
  • Obtain Notary Public certification and notarize documents as required.

REQUIREMENTS

  • Minimum of 8-10+ years of Executive Assistant experience, preferably in the financial industry.
  • Excellent interpersonal, written, and verbal communication skills.
  • Strong organizational skills and exceptional attention to detail.
  • Proactive, quick learner with strong problem-solving skills and common sense.
  • Flexible and collaborative team player.
  • High proficiency in MS Outlook, Word, Excel, Adobe, Zoom, and MS Teams.
  • Ability to craft and format professional business correspondence.
  • Knowledge of simple proofreading symbols is a plus.

SALARY

$120K + discretionary bonus + excellent benefits.

HOURS

9am–5pm.
