Executive/Personal Assistant with Projects to CEO of Midtown Hedge Fund

Our client, a leading investment firm, is seeking a highly skilled and proactive Executive/Personal Assistant to support the Chief Executive Officer (CEO). The ideal candidate will be a true career EA/PA “unicorn” with 7–10 years of experience supporting C-suite executives in financial services — private equity, hedge fund, investment management, or multi-strategy environments strongly preferred. This is a high-visibility role at the center of the firm’s decision-making, balancing both business and personal responsibilities for the CEO. The position is best suited for a strategic, tech-savvy, and highly organized professional who thrives in fast-paced, high-pressure environments, anticipates needs, and executes flawlessly. Role is in office 4x a week in Midtown.
RESPONSIBILITIES:
Provide comprehensive, high-level support to the CEO across both professional and personal domains with professionalism, discretion, and efficiency.
Manage an extremely active and complex calendar across multiple time zones; coordinate internal and external meetings with investors, stakeholders, and family members.
Anticipate needs, spot bottlenecks, and proactively implement solutions that maximize the CEO’s effectiveness.
Arrange and coordinate complex domestic and international travel, including flights, accommodations, ground transportation, and itineraries.
Draft, edit, and prepare confidential correspondence, presentations, and briefing materials at an executive-ready level.
Handle ad hoc and urgent requests with expert judgment and responsiveness, ensuring the CEO can remain focused on high-value work.
Serve as a liaison across internal teams (finance, HR, legal, investments) and external stakeholders, ensuring seamless communication.
Leverage AI tools and emerging technologies to streamline workflows, automate tasks, and improve efficiency.
Manage expense reporting, compliance submissions, and financial document coordination for both professional and personal matters.
Partner closely with other EAs and firm leaders to align on firm-wide priorities and strategic initiatives.
Support special projects, research assignments, and high-impact initiatives on behalf of the CEO.
REQUIREMENTS:
Mandatory: 7–10 years of experience directly supporting a CEO, Founder, or equivalent C-suite executive within financial services (private equity, hedge fund, investment management, or multi-strategy strongly preferred).
A career EA/PA mindset — dedicated to administrative excellence, not seeking upward mobility outside the EA/PA track.
Strong business acumen and comfort working with financial statements and sensitive information.
Both creative and analytical, with the ability to anticipate needs, solve problems independently, and implement process improvements.
Tech-savvy: advanced proficiency in Microsoft Office Suite; experience with SaaS workflow tools, enterprise systems, and demonstrated ability to leverage AI for productivity.
Exceptional written and verbal communication skills with a high level of responsiveness.
Superior organizational skills, attention to detail, and ability to juggle competing priorities in a high-pressure environment.
Professionalism, maturity, and sound judgment in handling sensitive and confidential information.
Bachelor’s degree from a respected U.S. institution preferred.

HOURS: 8:00 AM – 5:30 PM, Monday through Friday. Hybrid structure with minimum 4 days per week in the Midtown office; availability before/after hours as needed with a 24/7 mindset.
SALARY: Competitive base $175-200K (depending on experience) + discretionary bonus + 100% employer-paid health, dental, and vision benefits + 20 PTO days annually.
