Executive Assistant & Office Operations | Venture-Backed Start-up (San Francisco)

Our client, a high profile, venture-backed start-up, located in San Francisco, is looking for an EA/ Office Operations/ Catch-all to join their fast-growing team.  You'll support the CEO/ Co-Founder and help to improve and build office operations. The successful candidate will be organized, collaborative and an excellent multitasker with exceptional follow-through. They will possess strong verbal and communication skills, be resourceful, flexible and professional. This is a fast-paced, high-ownership role.
 

RESPONSIBILITIES

  • Organize and coordinate meetings, conferences, and travel arrangements (both domestic and international)
  • Maintain schedules and heavy calendars
  • Prepare and submit expenses reports
  • Screen and forward calls, provide information, take messages 
  • Prepare and manage correspondence, reports and documents
  • Track meetings, contacts and projects
  • Work with IT Provider to coordinate issues, needs, equipment ordering, etc.
  • Assist with operation and process improvement
  • Coordinate with Head of Talent for staff onboarding and offboarding process
  • Provide internal and external meeting support preparation
  • Coordinate with investors and board as needed and as directed to by CEO
  • Weekly inventory, ordering and stocking of office supplies 
  • Handle the in and outgoing mail, as well as receiving packages and transmitting them promptly to the correct individual
  • Assist with preparation of presentation materials
  • Coordinate with a variety of external parties
  • Plan team events, e.g., lunches, happy hours, etc.
  • Ongoing ad hoc projects and assignments as requested

 

REQUIREMENTS

  • 3-7+ years of administrative and or operational experience in a VERY fast-paced environment
  • High bar for quality and attention to detail
  • Excellent at execution and owning outcomes
  • Analytical and intellectually curious
  • Thrive in ambiguity and move fast
  • Experience working in a start-up or in tech highly preferred
  • Ability to handle confidential materials and information in a discreet and professional manner
  • Excellent communication skills – phone / email; exceptional organizational and multi-tasking skills
  • True team player; proactive, motivated and “can do” attitude
  • Ability to remain calm and composed during demanding periods
  • Committed, mature and hard-working
  • Proficient in Microsoft Office Suite, Google Suite and Slack

 

SALARY
$100-$125K (DOE) + Benefits
 

HOURS
8:30/9am-5/5:30pm (DOE) + Flexibility if needed
