Executive Assistant/Office Manager at Meatpacking VC Firm

Our client, a growing Venture Capital firm, is seeking an Executive Assistant / Office Manager to play a critical dual role: providing seamless executive support to senior leadership while ensuring smooth day-to-day office operations. This is a fantastic opportunity for a candidate with 3–5 years of administrative and office management experience to step into a high-visibility position at a dynamic, expanding firm. The successful candidate must bring polish, professionalism, and the highest level of discretion, along with a proactive, hands-on approach and positive energy.


RESPONSIBILITIES:
Executive Support

  • Manage complex calendars across time zones, scheduling internal and external meetings

  • Coordinate domestic and international travel (flights, hotels, cars, itineraries)

  • Prepare meeting materials, presentations, and correspondence

  • Process expenses and reimbursements

  • Act as liaison with internal stakeholders, investors, and external partners

Office Management

  • Cover the front desk in a quiet office with few visitors; greet and assist guests as needed

  • Oversee conference room scheduling, catering, and onsite meetings/events (including investor days and partner meetings)

  • Manage office vendors, supplies, mail, deliveries, and overall upkeep of space and pantries

  • Partner with IT and building management to resolve facilities issues

Firm & Team Support

  • Track PTO in vacation system and maintain staff contact lists/group calendars

  • Handle registrations and logistics for conferences and industry events

  • Support onboarding of new hires and assist HR/operations with ad hoc projects

  • Collaborate with other admins to ensure seamless team support


REQUIREMENTS:

  • 3–5 years of combined Executive Assistant and/or Office Manager experience (finance, professional services, or VC/PE strongly preferred)

  • Strong organizational skills with ability to prioritize and manage competing demands

  • Polished written and verbal communication skills; professional presence with senior stakeholders

  • High level of discretion and judgment in handling confidential information

  • Tech-savvy and detail-oriented, with a “no task too big or small” attitude

  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)


SALARY:
$85,000–$110,000 base salary (DOE) + discretionary bonus
