Temp to Perm Executive Assistant & Events/Office Coordinator (5x a week in office)

Our client, a rapidly growing venture capital firm, is seeking a proactive and highly organized Temp to Perm Executive Assistant & Events/Office Coordinator to support the Investment and Research team, oversee firm events, and manage the daily operations of their New York City office. This is a dynamic, in-person role that requires a polished professional who thrives in a fast-paced environment, enjoys creating seamless experiences, and takes pride in contributing to a collaborative, high-performing culture.

This is a great opportunity for someone who enjoys wearing multiple hats, from managing executive calendars and travel to executing firm events and ensuring the office runs smoothly. The ideal candidate has prior experience in a financial services or VC/PE environment, brings strong organizational and communication skills, and has a passion for providing top-tier support.


RESPONSIBILITIES: 

  • Provide high-level administrative support to the Investment and Research team, including meticulous calendar management, scheduling meetings, and coordinating recurring check-ins and team dinners.

  • Manage travel logistics and itineraries for executives and team members as needed.

  • Serve as the primary liaison with building management, vendors, and visitors.

  • Handle daily office needs including lunch orders, supply management, and restocking of snacks/beverages.

  • Support portfolio company founders when visiting the office, ensuring a seamless and welcoming experience.

  • Partner with senior leadership to create and execute firmwide events and experiences, including breakfasts, dinners, and annual celebrations.

  • Coordinate and manage branded firm swag and gifts, including holiday and client gifting.

  • Take ownership of office operations, ensuring an efficient, professional, and client-focused environment at all times.


REQUIREMENTS: 

  • 3–5 years of experience in an Executive Assistant, Office Manager, or Coordinator role within financial services, ideally VC/PE.

  • Strong skills in Excel and Google Sheets.

  • Highly organized with excellent time and project management skills; able to juggle multiple priorities under tight deadlines.

  • Strong written and verbal communication skills with the ability to build trusted relationships across teams and with external stakeholders.

  • Self-starter with the ability to work independently and see projects through from start to finish.

  • Flexible and adaptable with a high level of professionalism, responsiveness, and discretion.

  • Energetic, proactive, and committed to delivering a top-notch experience in all interactions.


HOURS: 

  • Full time position at Midtown office, 8:30am-5:30pm weekdays
  • Flexibility for occasional after-hours work (e.g. when we have events) and errands
  • Availability by email / text / phone after-hours and 24/7 when GPs are traveling

SALARY: 

$80,000–$115,000 base salary (DOE) + discretionary bonus + amazing benefits
