Executive Assistant/Office Operations to CEO of AI-focused Fintech Company in Brooklyn

Our client, a fast-growing, venture-backed AI-robotics startup in Brooklyn, is seeking an Executive Assistant & Operations professional to support the CEO/Founder. This is a dynamic, high-impact role requiring exceptional organization, adaptability, and the ability to thrive in a fast-paced, constantly evolving environment.  The ideal candidate will have a minimum of five years’ administrative experience—preferably in venture capital/private equity, AI, or a high-growth startup—and the confidence to deliver top-tier executive support while also rolling up their sleeves for hands-on operational tasks.  Our client is looking for someone with an “all-hands-on-deck” mentality, outstanding communication skills, impeccable discretion, and a true “no job beneath me” approach. The company aggressively leverages AI-tools for its operations and needs someone experienced and curious about how to best leverage new technology. This position is in-office 3-4x/ wk.

RESPONSIBILITIES 

  • Arrange domestic and international travel including flights, hotels, car services and dinner reservations.
  • Maintain and manage operational stack for heavily AI-automated workflow (i.e. Ashby for recruiting, Notional for document management, Mercury for expense management, etc). 
  • Manage heavy calendars.
  • Process expenses reports and travel reimbursements through AI-native workflow
  • Manage recruiting pipeline and relationships with executive search partners through AI-native workflow.
  • Manage relationships with AI-based outsourced bookkeepers including coordinating monthly close.
  • Coordinate corporate events (offsites, board meetings, community happy hours).
  • Handle some personal work as requested.
  • Maintain relationships and negotiate with vendors.
  • Assist with other administrative tasks and projects as needed.
  • Operational tasks including market/AI research.

​REQUIREMENTS
  • 5+ years of administrative experience
  • VC/PE, AI or Fintech experience preferred 
  • Bachelor's degree preferred
  • Poised and polished demeanor
  • Close attention to detail is a must
  • Ability to work independently as well as part of a team
  • Superb written and verbal communication skills
  • Proficiency with and curiosity about cutting edge AI-based workflows

 
SALARY
$(DOE) + discretionary bonus

HOURS
9am-6pm Monday-Weds/ Thursday in office + 24/7 availability 

Fully remote 6 weeks during the summer.
