Office Assistant at Renowned Asset Management Firm in West Palm Beach

Our client, a highly reputable asset management firm, is looking to hire an Office Assistant for their West Palm Beach office. In this role, the candidate will play a crucial role in ensuring the smooth and efficient daily operations of the office. Candidate will be responsible for a wide range of administrative tasks, office management, and providing support to various departments. The ideal candidate will be proactive, detail-oriented, and capable of multitasking in a fast-paced environment with a can-do, flexible attitude. This role is in the office five days a week.

RESPONSIBILITIES:
  • Maintain a clean and organized office environment.
  • Manage office supplies and equipment, ensuring adequate stock levels.
  • Oversee office maintenance, including liaising with vendors and service providers.
  • Assist executives and team members with scheduling, travel arrangements, and expense reports.
  • Manage incoming calls and emails, redirecting them as appropriate.
  • Prepare and proofread documents, reports, and presentations.
  • Process invoices, expense reports, and purchase orders.
  • Schedule meetings, conferences, and appointments.
  • Arrange catering, meeting rooms, and audiovisual equipment for events.
  • Prepare meeting agendas and take minutes when necessary.
  • Greet visitors, clients, and guests in a professional and welcoming manner.
  • Ensure a positive experience for guests, including offering refreshments.
  • Handle incoming and outgoing mail and packages.
  • Maintain contact lists and directories.
  • Manage internal communications, announcements, and memos.
  • Ad hoc office errands and other assignments as needed. 

RESPONSBILIITES:
  • 2-3+ years experience as an office manager, administrative assistant, or a similar / related role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent communication and interpersonal skills.
  • Strong organizational and multitasking abilities.
  • Attention to detail and problem-solving skills.
  • Discretion and the ability to handle sensitive information confidentially
  • Bachelor's degree preferred but not required.

SALARY
$80-$90K + FULLY covered benefits + Discretionary Bonus Opportunity + 401K / match + Excellent perks!

HOURS
8:30am-5:30pm (DOE) + flexibility if needed
