Office Manager/EA at Investment Fund in Hudson Yards

Our client, A growing, entrepreneurial investment firm with offices in New York, San Francisco, and Miami is seeking a dynamic Office Manager/Executive Assistant to join their tight-knit team. This individual will sit at Reception 4 days a week and own all parts of guest experience, manage the office in all aspects, light EA work for the founder, ensuring the office runs seamlessly while supporting day-to-day operational, administrative, and philanthropic efforts. This role is in office 4x a week (Mon-Thursday). 

RESPONSIBILITIES: 

  • Act as the face of the office—greet guests and manage all front-office activity with a white-glove, hospitality-driven approach

  • Oversee daily office operations including vendor management, facilities coordination, supply ordering, and pantry management

  • Provide light EA support to the CEO and senior leadership, including calendar management, travel planning, and meeting coordination

  • Handle light personal assistant responsibilities and help manage philanthropic and community initiatives

  • Assist with light marketing efforts such as social media coordination, simple graphic work (Canva), or events-related materials

  • Partner with external teams (property management, tech vendors, caterers, etc.) as needed

  • Occasionally travel locally (Rockland County, Miami) to support offsite logistics

REQUIREMENTS: 

  • 3+ years of administrative or office management experience, ideally within a professional services or financial setting

  • Extremely polished and professional, with excellent verbal and written communication skills

  • Strong multitasking abilities and attention to detail

  • Trustworthy and discreet with experience handling personal and confidential matters

  • Tech-savvy with proficiency in Microsoft Office; knowledge of Canva or Adobe Creative Suite is a plus

  • Comfortable in a fast-paced, high-touch environment and eager to pitch in wherever needed

  • Flexible and resourceful, with a can-do attitude and hospitality mindset

HOURS: 
8am-5:30pm + flexibility for OT as needed 

SALARY: 
$60-100K base + competitive benefits including 100% employer-paid health/dental/vision, 401(k) match, and daily lunch
