Ongoing Temp EA Floater at Global Investment Bank in Midtown

Our client, a Global Investment Bank, is seeking to hire a Temp Executive Assistant Floater.   This position requires a versatile individual who can provide coverage to various roles within the company (C-suite Executive Assistants, Executive Assistants, Administrative Assistants, Reception, etc.). Floaters regularly maintain expenses for around 1-15 bankers, while providing short and long-term coverage to members of the company (i.e., assistants who may be on vacation, sick or on extended longer-term leaves). This is a great opportunity to assist a dynamic, high-energy quickly growing firm. The successful candidate will be eager to roll up their sleeves and be flexible. Strong attention to detail and a hardworking mentality is a must.  This role is in the office 5x a week.


RESPONSIBILITIES 
  • Anticipate and resolve potential scheduling / logistical conflicts with an appropriate sense of urgency and professionalism
  • Prepare and process expense reports for up to15 bankers utilizing Workday Expense Reporting
  • Maintaining banker calendars and responding quickly/accurately to email correspondence
  • Scheduling meetings for individual bankers, as well as team of bankers
  • Booking travel/transportation, conference rooms, hotel stays, and other logistics related to travel
  • Ability to liaise frequently with other departments within the firm to coordinate conference calls, meetings as well as troubleshoot daily issues for team that is being supported
  • Excellent communication skills and ability to develop strong working rapport with employees at all levels of the firm
  • Provide additional administrative support including copying, filing, scanning, printing, preparing materials for internal meetings, setting up video conferences, booking conference rooms, ordering food/drinks, etc.
  • Supporting a wide variety of employees and departments depending on current assignment/placement
  • Participate in various ad-hoc projects and perform other duties as assigned             
REQUIREMENTS
  • 3-5+ years of executive or administrative assistant experience
  • A professional demeanor, ability to be flexible/adaptable and "go with the flow" while dealing with various personalities and levels of seniority
  • Punctual, organized and extremely detail-oriented
  • Superior communication skills, both verbal and written
  • Strong team player, detail-oriented and highly motivated
  • Proficiency in Microsoft Office (especially Outlook, Excel, PowerPoint and Word)
SALARY
$45-47/hour DOE + Paid OT + perks 

HOURS
Hours vary based on assignment. This role is 5x days week in-office
