Temp to Perm Administrative Assistant at Midtown Fund (Hyrbrid)

Our client, a growing hedge fund is seeking a highly organized, proactive Temp to Perm Administrative Assistant to support a dynamic client-facing team. This person will help cover reception and office coordination, as well as handle a range of administrative, operational, and logistical tasks to keep internal processes running smoothly and ensure client-facing activities are well-coordinated. This is a fast paced firm and needs someone who has no ego and is humble and tenacious and able to hit the ground running. They are in office 4x a week. 

RESPONSIBILITIES: 

  • Provide administrative support to the NY-based office, including reception and facilities.
  • Manage team calendar (inclusive of all meetings across firm, send calendar marker, reflect into group meetings calendar to distribute to partners and firm members) to the team.
  • Coordinate extensive travel (international and domestic) for team. Handle any necessary visa work for international travel. Prepare full itineraries (travel, meetings, notes) and car transfers.
  • Handle registration and preparation for conferences
  • Process team expenses
  • Coordinating with staff in offices around the world 
  • Coordinate internal and external meetings, including agenda preparation, prep materials and follow-ups
  • Ad-hoc special projects

REQUIREMENTS: 

  • Bachelor’s degree with a strong academic record (3.0 GPA required) 

  • Highly detail-oriented with excellent communication and organizational skills

  • Comfortable juggling multiple priorities in a fast-paced environment

  • Proactive, resourceful, and solutions-oriented

  • Proficient in Microsoft Office (especially Excel and PowerPoint)

  • A collaborative team player who’s eager to contribute wherever needed

HOURS: 
8:30-5:30pm in office Mon-Thursday and WFH Fridays 

SALARY: 
$70-85K base (DOE) + discretionary bonus (once converted)
