Executive Assistant to IR Team at Private Equity Firm in Midtown

Our client, a reputable private equity firm, is looking for a highly organized, proactive, and professional Executive Assistant to support the Investor Relations team. The Executive Assistant will play a key role in ensuring smooth operations within the Investor Relations department by providing high-level administrative and logistical support. The ideal candidate will have strong communication skills, excellent time management, and the ability to handle sensitive information with discretion. Prior experience in financial services, specifically private equity or investor relations, is a huge plus!
 
RESPONSIBILITIES
  • Calendar Management: Coordinate and manage complex calendars, scheduling meetings, conference calls, and events with internal and external stakeholders, including investors and clients.
  • Travel Coordination: Arrange domestic and international travel logistics, including flights, accommodations, ground transportation, and itineraries.
  • Meeting Preparation: Assist in preparing materials for investor meetings, roadshows, conferences, and presentations, ensuring all necessary documents are ready in advance.
  • Investor Communication: Serve as a key point of contact for investors, addressing inquiries and ensuring timely responses. Draft and edit correspondence, reports, and presentations as needed.
  • Event Coordination: Support the planning and execution of investor events, such as annual meetings, luncheons, and conferences.
  • Document and Database Management: Organize and maintain files and investor databases. Update and manage CRM systems to ensure accurate record-keeping of investor information, contacts, interactions, meetings, and follow-up actions. Support regular updates on the company website.
  • Expense Management: Track, process, and submit expense reports for the Investor Relations team in a timely manner.
  • Ad-hoc Support: Provide additional administrative support as needed, including assisting with special projects and initiatives within the firm.
 
EXPERIENCE
  • Bachelor’s degree or equivalent work experience.
  • 3+ years of experience as an Executive Assistant, preferably in financial services, private equity, or investor relations.
  • Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment.
  • Excellent verbal and written communication skills.
  • High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Experience with CRM systems is a plus.
  • Ability to work independently and collaboratively with cross-functional teams.
  • Proven ability to maintain confidentiality and handle sensitive information with professionalism.
  • Strong attention to detail and problem-solving skills.
  • Ability to manage time effectively and prioritize tasks with a sense of urgency.
 
SALARY
$110-$130K (DOE) + discretionary bonus + great benefits + perks

HOURS
8:30/9am-6pm + flexibility if needed
