Office Manager/Executive Assistant to Dynamic UK Based Hedge Fund in Midtown

Our client, a UK based Hedge Fund is looking to hire a star EA/PA/OM to assist a top executive in their growing NYC office. The successful candidate will be exceptionally organized, fast-paced and New York City savvy. They will possess strong verbal and communication skills, be resourceful, flexible and professional. This is a fantastic opportunity to become an integral part of an entrepreneurial firm! This role is 100% in office 5x a week. 

RESPONSIBILITIES:
  • Organize and coordinate meetings, conferences, and travel arrangements (both domestic and international)
  • Handle calendar management and expense reports
  • Screen and handle calls, provide information, take messages and schedule appointments
  • Prepare correspondence, documents and presentations
  • Light event planning and coordinate restaurant reservations
  • Persona Assistance as needed: i.e. travel, calendar and scheduling, dining reservation, etc.
  • Help organizing the NYC office: maintaining condition of the office and arranging for necessary repairs
  • Overseeing 2 admin receptionists and managing their day-to-day
  • Liaise with landlord about tenant needs as well as with contractors and vendors (e.g. cleaners, electricians, flower companies)
  • Maintaining up-to-date inventory of office contents and place online orders for IT and other office equipment
  • Coordinate with clients as needed and help build a relationship network
  • Ongoing projects and special requests
 
REQUIREMENTS:
  • 5 plus years of prior administrative support or related experience, must have experience as an Office Manager and oversight of admin staff 
  • Superb written and verbal communication skills
  • Excellent knowledge of administrative procedures
  • Detail-oriented, organized and punctual
  • Ability and willingness to take initiative
  • Proficient with Microsoft Suite (Outlook, Word, Excel, PowerPoint, etc.)
  • Must be dependable, hold confidentiality and possess discretion
  • Ability to work well independently
  • A flexible and positive approach to the job is a must!
  • Bachelor's degree is required 
 
SALARY
$125-200K (DOE) + Discretionary bonus opportunity + Excellent benefits!

HOURS
8am-6pm + flexibility if needed
