Executive Assistant to Two C-Suite Execs at Midtown Hedge Fund

Our client, a well-known and respected Hedge Fund in Midtown is looking to hire a star Executive Assistant to support two C-Suite Executives and their teams. This individual will be responsible for handling a variety of administrative tasks, including travel, calendar management and projects for the team. The successful candidate will be a self-starter who has demonstrated the ability to function independently in a fast-paced, and demanding environment.  This person will be intellectually curious, intuitive, detail oriented, resourceful, trustworthy and have the highest ethical standards. In addition, the individual will be effective addressing several internal and external audiences in a professional manner.  This person will add value by working on a number of simultaneous projects with minimal supervision and exemplary follow-through. This client has a strong focus on in-person collaboration, and team members are expected to work in person with their colleagues. 

RESPONSIBILITIES: 
  • Support 2 C-Suite Executives and their teams 
  • Maintain calendar and handle scheduling of all meetings and appointments
  • Answer phones and retrieve voicemails daily
  • Managing select business correspondence
  • Project management throughout the department
  • Manage business contacts by updating/adding to contact database
  • Organize and arrange both onsite and offsite meetings and other event planning duties
  • Arrange travel needs through internal travel department and create complete travel itineraries for all trips
  • Manage, organize, and maintain accurate files
  • Act as liaison between Executives and business colleagues
  • Provide backup support to other Executive Assistant as needed
  • Support the team with new hire onboarding
  • Perform other duties as assigned

REQUIREMENTS:
  • Bachelor’s degree from a top-tier university
  • Experienced professional with a minimum of 7-15 years of Executive Assistant experience, ideally in a role supporting multiple individuals (rather than one single senior executive).
  • Excellent English, grammar, written and oral communication skills
  • Proven record of successful problem solving
  • Superior organizational skills and record-keeping, and strong attention to detail
  • Excellent interpersonal skills, positive attitude and high energy level
  • Proactiveness and awareness on how and when to move things forward 
  • Requires some flexibility with work schedule
  • Adaptable, flexible to changes and the ability to work in a fast-paced environment
  • Proficiency in Microsoft Windows, Excel, PowerPoint, and related software
HOURS: 
8:30am-5:30pm + availability for OT 

SALARY:

$100-200K (DOE) + Discretionary Bonus + excellent benefits
