Executive Assistant/Office Manager to 2 General Partners of VC Firm in Midtown

Our client, a fast-growing and dynamic Venture Capital Firm, located in Midtown, is seeking an Executive Assistant/Office Manager who will support 2 General Partners of the firm and run their office operations. The ideal candidate will be polished, energetic, and engaging with a nothing is beneath me attitude. Serving as the face of the firm, the successful candidate will establish a smart, friendly, and hospitable tone for all guests and employees alike. The ideal candidate will be collaborative, flexible, and an excellent multi-tasker. This is an amazing opportunity for a candidate to take ownership of a role and be a jack/jane of all trades for this boutique firm. Candidate must have at least four years of experience working in either Venture Capital or Private Equity and a positive, humble attitude. 

Responsibilities:
  • Lead office logistics including storage organization, stocking supplies, and designing our hospitality and office maintenance program.
  • Schedule all meetings and manage time for two General Partners, using judgment to ensure they are maximizing their productivity.
  • General administrative duties such as expense reporting, preparing written communications, document filing in Dropbox (paperless office), document signatures, and shipping.
  • Book regular domestic and global travel arrangements for business and personal trips.
  • Liaise with the firm’s business partners while ensuring key relationships are maintained with excellence.
  • Plan firm events (presentations, dinners, off sites) end-to-end.
  • Manage all office vendors, deliveries, catering, and invoice reconciliation.
  • Conduct lightweight research, prepare reports, and analyze data to get us ready for meetings.
  • Handle various lightweight errands for the GPs on a regular basis.
  • Proactively offer and implement suggestions to continuously improve organizational effectiveness and firm culture.
  • Maintain strict confidentiality and discretion with all firm information.
Qualifications:
  • Self-starter. You take initiative and find creative solutions in a fast-paced environment.
  • Excellent judgment. You choose options and prioritize among conflicting needs.
  • Internet native. You use LinkedIn, Google Docs, and cloud software. You solve problems with technology.
  • Precise communicator. You write and speak with clarity and express yourself concisely.
  • Nothing falls through the cracks. You like to build checklists for everything.
  • You finish what you start, sweat the details, and don’t stop until it’s great.
  • Minimum of 4 years of corporate work experience in Venture Capital or Private Equity
Salary:
$100-130K base salary (DOE) + generous bonus + 100% health, dental and vision, and other great perks

Hours:
  • Full time position at Midtown office, 8:30am-5:30pm weekdays
  • Flexibility for occasional after-hours work (e.g. when we have events) and errands
  • Availability by email / text / phone after-hours and 24/7 when GPs are traveling
