Executive Assistant to the CEO of a Well-Funded Mission-Driven Healthcare Firm on the Upper West Side
Our client, a well-funded mission-drive healthcare firm on the Upper West Side, is seeking a highly experienced Executive Assistant to support the CEO. This is an opportunity to join a lean, fast-growing firm team at an early stage. The ideal candidate will bring structure to a fast-moving environment, anticipate needs, and take ownership of business priorities that allow the CEO to focus on fundraising, investor relationships, and building the firm. The successful candidate will exercise excellent judgment and communicate effectively with senior executives, board members, donors, community leaders, and other key stakeholders. This role is 5x days/wk in-office.
RESPONSIBILITIES
- Manage the CEO’s complex calendar, appointments, meetings, and competing priorities
- Serve as a strategic partner and extension of the CEO, anticipating needs and helping ensure priorities move forward
- Coordinate meetings and prepare agendas, briefing materials, presentations, and other relevant information
- Manage phone and email correspondence, assessing urgency and responding or escalating as appropriate
- Serve as a key liaison between the CEO and the Board of Trustees
- Coordinate Board meetings, communications, materials, and follow-up items
- Partner with senior leadership and cross-functional teams to track strategic initiatives, deliverables, and deadlines
- Liaise professionally with donors, community leaders, media partners, and other external stakeholders
- Conduct research and support special projects and organizational initiatives
- Handle sensitive and confidential information with the utmost discretion
- Provide high-level administrative and strategic support as needed
- Bachelor’s degree strongly preferred
- Approximately 5+ years of senior-level executive support experience
- Prior experience supporting a President, CEO, or similarly senior executive
- Experience combining traditional executive support with strategic project management or Chief of Staff-level responsibilities
- Nonprofit, healthcare or similarly mission-driven experience is highly preferred
- Strong calendar management, organizational, and prioritization skills
- Excellent written and verbal communication skills
- Ability to synthesize information, exercise sound judgment, and drive follow-through
- Polished and professional demeanor with strong stakeholder-management skills
- Proactive, highly discreet, and comfortable operating independently
- Ability to remain composed while managing shifting priorities and time-sensitive matters
- Proficiency in Microsoft Office, including Word, Excel, PowerPoint, and Outlook
- AI proficient a plus
SALARY
$135-150K on a base + bonus + benefits + other great perks
HOURS
8am-5pm Mon- Friday + availability after hours as needed
