Part-Time and Temp to Perm Executive Assistant to global, C-suite Executive at growing Tech company

Our client, a rapidly growing global healthcare technology company, is seeking an experienced and highly polished Part-Time, Temp to Perm Executive Assistant to support its Global Chief Medical Officer. This is a fantastic opportunity to partner closely with a senior, highly visible executive in a fast-paced, global organization while maintaining a consistent part-time schedule.

The ideal candidate is proactive, detail-oriented, and exceptionally organized, with the judgment and confidence to independently manage a busy executive’s day-to-day priorities. This person will serve as a trusted administrative partner to the Global CMO, helping protect his time, anticipate needs, and ensure that calendars, travel, meetings, and follow-up are handled seamlessly. The role is ideal for an experienced EA who genuinely enjoys executive support and is specifically seeking a long-term, part-time opportunity.

RESPONSIBILITIES

• Provide proactive, high-level administrative support to the Global Chief Medical Officer
• Manage a complex and ever-changing calendar, prioritizing scheduling requests, resolving conflicts, and protecting preparation and travel time
• Coordinate domestic and international travel, including flights, accommodations, ground transportation, itineraries, and last-minute changes
• Manage multi-time-zone scheduling across a global and distributed organization
• Triage designated emails and administrative requests, draft routine correspondence, and appropriately flag items requiring the CMO’s attention or decision
• Coordinate internal and external meetings, including confirming participants, links, logistics, and existing materials
• Provide timely administrative follow-up and reminders to ensure outstanding items are completed
• Prepare and process expense reports and reimbursements
• Handle confidential and sensitive information with discretion and sound judgment
• Coordinate closely with other Executive Assistants to ensure appropriate scheduling and coverage
• Anticipate potential conflicts, missing information, and administrative needs before they arise

REQUIREMENTS

• Significant hands-on Executive Assistant experience supporting a C-level or similarly senior executive in a fast-paced environment
• Proven experience managing complex calendars, multi-time-zone scheduling, and domestic and international travel
• Exceptional attention to detail, organization, and follow-through
• Strong judgment and ability to independently prioritize, problem-solve, and escalate when appropriate
• Polished and professional written and verbal communication skills
• High level of discretion when handling confidential or sensitive matters
• Proactive, dependable, and comfortable working independently within a hybrid environment
• Experience supporting a physician, public-facing executive, or senior leader within healthcare or health technology is a plus
• Experience working across international or distributed teams is a plus
• Familiarity with Google Workspace preferred
• Must be based in the Washington, DC area and available to meet with the CMO in person once per week

HOURS / SCHEDULE

Part-time, approximately 20 hours per week
Approximately 4 hours per day, Monday–Friday, with flexibility around exact working hours
Hybrid schedule with one in-person meeting per week in Washington, DC
Initial 6-month contract-to-hire opportunity
