Executive Assistant / Investor Relations at Investment Firm (Hybrid)

Our client, an established investment firm based in New York City, is seeking an experienced Executive Assistant to support a senior executive and broader team. This is a fast-paced role combining traditional executive support with Investor Relations assistance and relationship management. The ideal candidate is highly organized, detail-oriented, proactive, and comfortable managing a high volume of competing priorities while working closely with senior executives, external stakeholders, and internal teams.

RESPONSIBILITIES:
  • Provide high-level administrative support to an executive and broader team
  • Manage complex calendars and coordinate internal and external meetings
  • Coordinate complex domestic and international travel, accommodations, and logistics for meetings and conferences
  • Manage and maintain the CRM platform, including updates, meeting tracking, reporting, and other relevant information
  • Support Investor Relations initiatives, including organizing and maintaining materials and documentation
  • Coordinate external events, including preparation and follow-up 
  • Process expenses
  • Collaborate with senior executives, external stakeholders, and internal teams
  • Handle highly confidential and sensitive information with discretion
  • Assist with ongoing additional administrative needs and special projects as needed

REQUIREMENTS:
  • Prior executive administrative experience — within an investment environment or similarly fast-paced professional setting is a plus
  • Bachelor’s Degree or equivalent
  • Proficiency in Microsoft Office Suite, particularly Outlook
  • Experience working with CRM platforms preferred
  • Proven ability to manage a high volume of concurrent requests in a fast-paced environment while maintaining strong attention to detail
  • Highly organized with strong prioritization skills and the ability to manage competing demands in real time
  • Proactive and resourceful, with the ability to anticipate needs, and take initiative
  • Strong written and verbal communication skills
  • Comfortable learning and adopting new technology and tools to improve efficiency
  • Collaborative, positive, can-do attitude with a high level of responsiveness and commitment

SALARY:
$125–175K DOE + Discretionary Bonus + Benefits + 401K

HOURS:
9:00/9:30am–6:00/6:30pm (DOE) + Flexibility as needed!
