Catch-all Executive Assistant/Office Manager/Business Operations at a Real Estate Private Equity Firm in LA

Our client, a Los Angeles-based, Real Estate Private Equity firm, is seeking a highly organized, proactive, and detail-oriented Business Operations and Executive Assistant to serve as a central hub for the Firm’s day-to-day operations. This person will play a critical role across executive support, office management, HR administration, and general business operations, while working closely with senior leadership. This is a high-impact, highly visible role ideal for someone who thrives in a fast-paced, entrepreneurial environment, enjoys wearing multiple hats, and is excited to take ownership of a broad range of responsibilities. There is also a great opportunity to grow alongside the Firm as they continue to expand! This role is 4x days/wk in-office and Fridays are remote.

RESPONSIBILITIES

• Manage complex calendars, schedule meetings, and coordinate logistics for senior leadership
• Coordinate internal and external meetings and ensure all details are handled seamlessly
• Arrange travel, accommodations, and detailed itineraries
• Prepare meeting materials and assist with notetaking, follow-ups, and action items
• Oversee day-to-day office operations, ensuring a polished, organized, and well-functioning environment
• Manage relationships with vendors, building management, IT providers, and other office services
• Coordinate office supplies, equipment, maintenance, and general upkeep
• Organize team events, offsites, and internal initiatives
• Manage expense reporting, invoice processing, and vendor payments
• Assist with budgeting and tracking administrative and operating expenses
• Support coordination of legal and compliance-related administrative items
• Assist with new hire onboarding, including logistics, documentation, and internal coordination
• Support benefits administration, employee records, performance reviews, and other HR initiatives
• Maintain organized digital and physical filing systems across the Firm
• Track recurring processes, including compliance filings, renewals, and internal deadlines
• Assist with special projects and cross-functional initiatives as needed
• Identify opportunities to streamline processes and improve overall operational efficiency
• Handle sensitive and confidential information with the utmost discretion and professionalism

REQUIREMENTS

• 4+ years of experience in an administrative, operations, office management, or related role
• Previous experience within finance or a professional services environment, such as private equity, investment management, real estate, or investment banking
• Highly organized with exceptional attention to detail and the ability to manage multiple priorities simultaneously
• Proactive, resourceful, and comfortable working independently within a small, entrepreneurial team
• Strong written and verbal communication skills
• Excellent interpersonal skills with a polished and professional demeanor
• High level of discretion and sound judgment when handling confidential information
• Proficiency in Microsoft Office, including Outlook, Excel, and Word
• Experience with expense management and basic financial tracking preferred
• Ability to take ownership, anticipate needs, and identify opportunities to improve processes

SALARY

$110-120K on a base + Discretionary Bonus + 401(k) with company match + Unlimited PTO 

HOURS

8/8:30am-5/5:30pm Mon-Thurs in-office. Fridays are remote.
