Our client, a biotech firm in LA is looking to hire a catch-all EA/PA/OM to support the CEO and office as a whole. In this position, the candidate must be detail oriented and able to prioritize well as this team is extremely busy. The successful candidate should have at least 3-5+ years of administrative experience, preferably within finance. This is a small firm and the candidate must have also have a team-player mentality and ability to wear many hats with a “no-job-beneath-me” mentality. This candidate MUST be proactive, a self-starter and can keep up with a very fast paced environment.
This role is 5x days a week in-office with a true 24/7 mentality.
RESPONSIBILITIES
- Cover phones and prioritize calls
- Schedule meetings and conference calls and rearrange any conflicts for the CEO
- Arrange domestic and international travel including flights, hotels, car services and dinner reservations. Process Visas and update passports as needed
- Manage heavy calendars
- Process expenses reports and travel reimbursements
- Handle personal work as requested
- Help with daily office management/office operations
- Vendor management
- Greet guests, clean conference rooms, etc.
- Assist with some human resources support
- Schedule and arrange for conferences/events and send materials needed prior to conference
- Assist with research and projects as needed
REQUIREMENTS
- 3-5+ years of administrative experience
- Finance experience preferred
- Bachelor's degree is required
- Poised and polished demeanor
- Close attention to detail is a must
- Ability to work independently as well as part of a team
- Superb written and verbal communication skills
- Proficiency with Microsoft Office
- Able to keep up with a very fast paced environment
- MUST be proactive and a self-starter

$110-130K + benefits
