Temp to Perm Recruiting Coordinator at Midtown Tech Firm--5x a week in office

Our client, a fast-growing technology company, is seeking a highly organized and detail-oriented Recruiting Administrator to support their Recruiting and HR teams. This is a high-touch, high-visibility role that sits at the center of the hiring process, requiring someone who thrives in a fast-paced environment, can manage complex scheduling, and takes pride in delivering a seamless, best-in-class candidate experience.

This individual will spend the majority of their time focused on interview coordination and pipeline management, while also supporting broader recruiting and people operations initiatives. The ideal candidate is polished, resourceful, and proactive, with a strong sense of ownership and the ability to operate with urgency and professionalism. This role is fully in office, five days per week.

RESPONSIBILITIES:
Interview Scheduling & Candidate Experience:
  • Own all aspects of interview scheduling across multiple calendars, time zones, and seniority levels
  • Coordinate phone screens, virtual interviews, on-sites, assessments, and debrief logistics
  • Serve as the primary point of contact for candidates, ensuring a seamless and high-touch experience
  • Prepare interviewers with schedules, candidate materials, and briefing documents
  • Anticipate scheduling conflicts and manage last-minute changes with professionalism and urgency
  • Maintain and update the applicant tracking system with accuracy and timeliness
  • Track recruiting metrics and help maintain pipeline visibility for the team
Recruiting & HR Support:
  • Assist with sourcing efforts, resume reviews, and candidate outreach as needed
  • Support onboarding, background checks, and new hire logistics
  • Maintain organized and confidential employee and candidate records
  • Partner with HR on ad hoc projects, reporting, and process improvements
Operational & Administrative Support:
  • Provide general administrative support to ensure recruiting operations run smoothly
  • Assist with coordination of internal events, trainings, and team initiatives
  • Support office operations as needed, in partnership with workplace teams
  • Help maintain a polished, professional environment for candidate and client interactions
REQUIREMENTS:
  • 2–3 years of experience in recruiting coordination, scheduling, HR support, or administrative roles
  • Exceptionally strong organizational skills with high attention to detail
  • Proven ability to manage high-volume scheduling across multiple stakeholders
  • Strong understanding of professional communication and candidate experience
  • Ability to remain calm and solution-oriented in a fast-paced environment
  • Comfortable working with ambiguity and shifting priorities
  • Strong written and verbal communication skills
  • Proficiency with ATS systems, Google Workspace or Microsoft Office, and scheduling tools
  • High level of ownership with a proactive, team-oriented mindset
  • Ability to work onsite five days per week
  • Ability to travel to the Boston office approximately 1–3 days per month
EDUCATION:
  • 2- or 4-year degree preferred
  • Experience supporting high-growth environments is a plus
HOURS:
  • 9:00am–5:00pm; Monday through Friday
SALARY:
  • Temp period (approximately 4 months): Hourly rate DOE
  • Conversion salary range: $40-48/hr or $80 -100K annually if converted to perm
